Reporting directly to the Head of Deposit Services, incumbent oversees the daily flow of newly deposited library materials at the Northern Regional Library Facility (NRLF); serves as workleader for approximately 7-8 FTE Library Assistants (level 2 and 3) and the equivalent of 1 FTE student employee processing newly deposited material to the NRLF. Organizes and tracks incoming deposits of library materials from the University of California libraries and non-UC depositors, as well as deposits from institutions participating in the Western Regional Storage Trust (WEST) and other Shared Print programs. Ensures that incoming materials are in alignment with established depositing guidelines and bibliographic records meet the standards for uniform compliance. Rejects material not meeting NRLF standards and communicates problems back to owning library. Assists head of the unit with project planning for UC system-wide initiatives and the needs of individual campuses; participates in collections/space management projects. The NRLF is one of two shared facilities developed to store, preserve, and provide access to low-use library materials for the libraries of the University of California.

Responsibilities

  • Coordinates and oversees the deposit processing workflow from receipt of new deposit requests through processing incoming materials:


- For material deposited by the University of California libraries and non-UC depositors.
- For deposit contributions from institutions participating in the Western Regional Storage Trust (WEST) and other Shared Print programs.
  • Tracks incoming shipments of new deposits, ensuring that newly arrived library materials meet depositing guidelines, are counted, logged, organized and accurately prepared for processing.
  • Participates in the recruitment process, interviewing, selecting and hiring Library Assistant staff (levels 1 through 3), as well as student employees supporting the unit's processing work.
  • Trains new employees; instructs, oversees and revises staff in all aspects of monographic and serials processing work, as well as special collections and special projects processing.
  • Provides guidance and direction to processing staff when they encounter processing problems, and assesses whether or not processing can be completed.
  • Monitors attendance and staff performance for productivity, quality, and accuracy.
  • Provides subject knowledge support to NRLF's Shared Print Processing Assistant to ensure that shared print serials and monographic materials, new contributions as well as conversion of legacy records, are processed in alignment with all processing standards.
  • Ensures staff meets established metrics for performance standards and productivity rate, reviewing and revising work done as necessary and providing staff with the tools necessary to accomplish the goal.
  • Meets with the Head of Deposit Services on a regular basis to review productivity and accuracy of work done and to ensure performance problems are identified and corrected in a timely manner.
  • Consults with the Head of Deposit Services to inform, manage and resolve conflict situations.
  • Participates in the performance appraisal process and together with Head of Deposit Services, conducts annual performance evaluations.
  • Collects detailed statistical processing reports for the Head of Deposit Services unit and/or the Operations Manager.
  • Processes complex serial, monograph, and non-standard deposits, involving creating new item records, recording item-specific information, owning unit location code, NRLF barcode, physical condition, binding condition, and the format and packaging information for non-book material. Creates, edits or updates holdings records. For non-UCB material, downloads bibliographic records from OCLC.
  • Resolves complex processing problems by careful examination of the bibliographic metadata, holdings, and item records and comparing them to the items-in-hand; performs in-depth bibliographic searches in Millennium, Melvyl, OCLC Connexion, as well as in library catalogs of NRLF depositors and beyond.
  • Consults with technical processing staff at depositing libraries as necessary to resolve bibliographic record problems.
  • Oversees record clean-up work of NRLF legacy records done by staff and performs more complex database maintenance work, accurately interpreting information in MARC records in Millennium and other library catalogs.
  • Assists the Head of Deposit Services to revise procedures, define goals, operational needs, processing standards, and implementation plans for new programs.
  • Participates in collections/space management projects; assists in the design and implementation of the workflow and procedures, and oversees the process.
  • Participates in regular NRLF supervisory meetings and monthly joint RLF meetings, and represents NRLF's processing concerns and requirements on UC Berkeley Library or system-wide committees, working groups or task forces.


Required Qualifications

  • Knowledge of library operations and MARC format and coding for bibliographic and holdings records; experience in processing serials and monographs.
  • Ability to initiate and maintain cooperative working relationships with co-workers, supervisors, and managers.
  • Effective communication skills, both orally and in writing.
  • Ability to follow directions from supervisors (and to provide clear directions to staff and student employees).
  • Ability to get to work reliably and on time, and to be present in the workplace during normal working hours.
  • Strong organizational skills to manage multiple projects; ability to perform efficiently and courteously in a fast-paced environment with frequent distractions and interruptions.
  • Attention to detail, demonstrated capacity for carrying out tasks in an accurate manner, and ability to check own work for accuracy.
  • Ability to work independently, set priorities, and maintain them while coping with a fluctuating workload and competing demands.
  • Experience in supervision and demonstrated skill as a workleader.
  • Working knowledge of Microsoft Office software (Word, Excel), and Google apps (Docs, Sheets).


Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.
  • Academic library experience and training in a library consortium with shared resources and coordinated activities, and/or Technical Services department.
  • Intermediate to advanced knowledge of AACR2 and MARC cataloging rules for bibliographic and holdings record applied to a wide array of materials (acquired through classes or on-the-job training).


Preferred Qualifications

  • Working knowledge of systems used by technical processing staff at UCB (Millennium, Melvyl, OCLC).
  • Skill in searching online public access catalogs of libraries and library systems.
  • Reading knowledge of non-English languages.
  • Basic knowledge of RDA cataloging rules and practices (acquired through classes or on-the-job training).


Salary & Benefits

The hourly salary range of the position is $24.15- $27.68, commensurate with experience.
