Position Summary
The Department of Epidemiology and Environmental Health (EEH) seeks a Research Activities Administrator with skills to manage the EEH biobank and provide administrative support for research awards for EEH faculty.

The Research Activities Administrator should have experience working in a laboratory and providing administrative support. The position will consult with EEH investigators requesting use of biobank resources, process and store specimens, manage the biobank inventory, and provide other administrative support for research (eg, human resources and finances). We pursue a self-directed, highly organized professional, able to develop and execute study protocols, and navigate sponsors’ and university’s policies and procedures.

Examples of the work responsibilities include, but are not limited to:

  • Consult with investigators to develop specimen transport, processing, and storage procedures. Provide cost estimates to investigators for supplies needed to process and store specimens in the biobank.
  • Receive, process, and store specimens per study procedures. Procure laboratory supplies. Monitor functioning and provide routine maintenance for biobank freezers and liquid nitrogen tanks. Be available on-call to respond and manage biobank system failures to ensure the integrity of all specimens.
  • Maintain an up-to-date inventory of all specimens stored in the EEH biobank and ensure all specimens are clearly labeled and organized. Retrieve specimens as requested and arrange transport.
  • Provide administrative support for grants and awards held by EEH faculty. Such responsibilities include monitoring budgets and expenditures, providing investigators with account balances and budget projections, assisting with annual reporting requirements, procurement, processing of reimbursement requests and reconciliation of RF accounts.
  • Provide administrative support related to the recruitment and hiring for EEH Research Foundation (RF) positions and fellowships. Such responsibilities include processing of job postings, administering new appointments, changes in appointments, reappointments, and terminations and processing immigration filings for Research Foundation staff, as needed. Responsibilities also include monitoring appointments with respect to operative dates and communicating with PIs regarding upcoming end dates.

This position requires strong professional judgement and resourcefulness, ability to work independently, to accurately handle time-sensitive matters, problem-solving and ability to maintain confidentiality. The Research Activities Administrator must be organized, flexible, able to simultaneously respond to competing demands, and make decisions regarding priority, with minimal supervision. This position will require on-the-job learning and new skills development pertinent to study procedures, departmental initiatives and changes in UB and sponsor policies and other related regulations.

Minimum Qualifications
Bachelor’s degree, experience working in a laboratory environment, knowledge and adherence to laboratory safety procedures, and ability to follow SOPs. Demonstrated general skills to include: adaptable, organized, proactive, excellent judgment, quantitative ability. Strong technology skills to include effective utilization of Microsoft Office (Word, Excel, PowerPoint and Outlook) and efficient file sharing techniques. Additional skills in spreadsheets, and in communication (listening, written, and oral), customer service, problem-solving, and effectively performing as part of a team are necessary.

Preferred Qualifications
Master’s degree with experience in a similar professional role managing a laboratory and providing administrative support in an academic, healthcare, or similar institution. Experience processing various biological specimen types, managing a large specimen inventory, -80°C freezers, liquid nitrogen, dry ice, and biohazard waste disposal. Previous sponsored projects administration, familiarity with UB Research Foundation procedures and systems. Knowledge of UB administrative policies and management systems including: RF Report Center, SIRI, UB Jobs, Concur, ShopBlue, travel, UBBox. Ability to work across the levels of the university.
