The College of Engineering at UC Berkeley is recognized for its educational and research excellence, consistently ranking among the top three Engineering colleges in the United States. With approximately 230 regular faculty members, 2150 graduate students and 3450 undergraduate students located in seven academic departments, Engineering is the second largest college on the Berkeley campus. Operating expenditures for the College as a whole exceed $190.5 million annually.
EECS is the largest Department on the UC Berkeley campus consisting of over 130 faculty, adjunct, active emeriti and PIR appointments, 3,000 undergraduates between the College of Engineering and Letters and Science, more than 700 graduate students, and 65 staff members. The EECS Center for Student Affairs (CSA) provides a centralized function that serves the needs of students, faculty, and staff in meeting the academic mision of teaching and research from student recruitment and admissions through graduation and alumni relations. Staff in the CSA prepare undergraduate and graduate students for leadership in the profession, perform high-impact research, and serve the campus, the State and the nation.
This position reports to the EECS Director of Graduate Matters. The Graduate Admissions and GSI Coordinator will be involved in a wide range of student services duties and responsibilities for an academic department/school/college or organization. The advisor will provide assistance to the dean/chair, faculty, and students in academic advising, recruitment, admissions, financial aid, the evaluation and awarding of fellowships and block grant funds, student orientation and events, career counseling, and related programs. The position is a primary department contact for applicants, new students and faculty regarding graduate admission involving more than 3,000 applications annually. The function of this position is to process and evaluate admission applications of EECS higher degree applicants. In addition, they will act as primary liaison to the faculty regarding the admission process and procedures. They will also coordinate recruitment of top admits, serve as fellowship liaison for the department, and assist with continuing graduate student matters.
30% Recruitment and Admissions
: Applying advanced Student Services concepts, provides the most complex student services to the organization's management, faculty and students. Advises department/school/college on outreach strategies, and helps identify targeted institutions to meet organization's goals; coordinates, reviews and advises chair/dean and faculty on transferability and applicability of non-UC Berkeley courses.
The Graduate Admissions and GSI Coordinator advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; utilizing in-depth knowledge of the organization's admissions criteria, helps rank applicants for admissions; evaluates domestic and international transcripts for degree eligibility; initiates and arranges student recruitment visits to Berkeley.
The position will be a point of contact to advise entering and continuing students on how to obtain additional information on a variety of topics, including but not limited to financial aid opportunities, University petitions and deadlines, fellowship competitions, housing, legal residency for tuition purposes. The Graduate Admissions Coordinator will refer inquiries to other campus offices when appropriate, and provide backup and assistance for other student services staff in the office.
In collaboration with the department's technology staff, the position will assist in the set-up of computer accounts. In addition, they will be responsible for overseeing the design, development, implementation and maintenance of a complex and confidential electronic database (including, all relevant information needed to monitor applicants' progress toward admission, to identify students eligible for special nominations, to provide advising information for admission committee members and admission co-chairs and produce a variety of special requested reports).
Plans and implements complex, high-visibility student events, such as commencements. The advisor will be expected to coordinate, plan and participate in multi-day recruitment events for top-ranked admits; oversee the organization of events with faculty members, current students and administrative staff; coordinate individual appointments between visiting admits and faculty members; make arrangements for guest speakers, select student speakers, recruit student help, and design program agenda; coordinate multiple, one-on-one, same day, appointments between faculty and visiting students; arrange individual accommodations and transportation for visiting admits; serve as a liaison to faculty and current grad students working in admitted applicant's particular fields of study, and provide information on housing, student organizations and funding.
In addition, the advisor will provide data for special statistical projects, regarding the applications of outreach students in cooperation with the College of Engineering and department representatives; including special outreach efforts. The advisor will also help with coordination of Undergraduate Outreach, suggest strategies for a successful application, and advise applicants on how to reactivate their application.
30% Program Oversight
: Within an academic department/school/college provides, and makes recommendations for, the improvement of
Ensure fiscal responsibility for approximately half of Department's $8.5M TAS budget. Responsible for monitoring the course staffing budget for to ensure that funds are properly allocated. Any discrepancies are tracked with Department Finance team, Faculty Scheduler.
Assist with management of 400 U/GSI course assignments; work with Departmental Faculty GSI Advisors to meet University requirements for training of GSIs; handle exceptional cases; recommend GSI assignments in special cases after routine assignments have been completed; maintain and update GSI database; recommend GSI assignments factoring in relative classroom strengths and weaknesses, and course subject-matter knowledge of individual GSIs as matched to course content and instructor; provide statistical and tracking data for departmental leadership; and participate in annual reporting and planning.
15% Department/School/College Policies
: Advises chairs/deans on the formulation of department/school/college admissions policy by advising them on areas needing clarification and identifying solutions; analyzes the consequences of organization's academic policies and recommends new or changed policies; recommends solutions to organization's problems without precedent.
As the GSI Staff Coordinator, the position will apply advanced knowledge of policies, and procedures to complete tasks of diverse scope and complexity; exercise judgment within defined guidelines and practices to determine appropriate action; use professional UC Academic HR concepts; apply campus and/or system wide policies and procedures to resolve a limited range of Academic Student Employee (ASE) issues, exercise independent judgment within defined procedures and practices to determine appropriate GSI hiring actions; assist with administering policies and programs in recruiting, instructional labor relations, wage and salary administration, and training.
10% Financial Aid
: Recommends resolution of extremely sensitive, specialized, and/or complex financial aid issues; and/or administers department's/school's/college's block grants and restricted funds. Advises organization's management on available funds for entering students based upon special funding from all sources.
In collaboration with the Executive Director for the Center of Student Affairs, the Graduate Admissions Coordinator will assist in the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards and advise students on financial aid options on campus and extra-mural fellowship opportunities. The position will also coordinate graduate external fellowship competitions including seeking out sources of funding, nomination procedures, student notification, and acts as liaison with external and internal funding offices.
10% Academic Advising
: Identifies and refers for resolution intricate student issues/grievances such as alleged discrimination, complex grade dispute issues, and students' personal crises; recommends petition exceptions that affect the requirements of multiple departments; facilitates new course approval through interaction with the Coordination of College Policy, Academic Senate, or similar organization.
Advises faculty and students on departmental/school/college and university policies and procedures; reviews students' progress and advises students and faculty on requirements for degree/program completion; identifies students with progression problems and recommends interventions.
Advise entering and continuing students on how to obtain additional information a variety of topics, including but not limited to financial aid opportunities, University petitions and deadlines, fellowship competitions, housing, legal residency for tuition purposes. Refer inquiries to other campus offices when appropriate. Provide backup and assistance for other CS graduate assistants in the office.

In conjunction with the other members of the Graduate Student Affairs team, the advisor will coordinate and plan the New Graduate Student Orientation, and also plan and conduct other special events for graduate students.
5% Professional Development
: Participates in professional student services committees that develop policies/procedures with nationwide impact.
The advisor will be expected to maintain and update their working knowledge of EECS and campus student affairs issues by taking appropriate classes, attending campus-wide SAO meetings, and networking with peers. In addition, they will keep current with national trends related to graduate admissions as well as best practices in student affairs administration.
