Position Summary
The Financial Management department at the University at Buffalo is seeking a Staff Assistant who will be responsible for handling a series of financial transactions and analysis to include administration of the State and Research Funded Travel and Procurement Card programs, development and coordination of potential new card programs as well as various departmental accounting functions.

The successful candidate should be analytical and have strong audit skills. The selected individual should be able to put into place security and control procedures and manage a university wide card program monthly reconciliation process. Excellent written and strong communication skills are essential for this position. The selected candidate must be highly organized and detail oriented, with the ability to multi task. In this position, the candidate will perform a variety of accounting duties to include:

  • Analyze numerous cardholder monthly summaries across multiple funding sources for completion and accuracy
  • Review research account expenditures for grant allowability and appropriateness. Ensure accounts have sufficient resources to offset against costs
  • Review accounts that have outstanding balances and work with departments to address in a timely manner
  • Create efficiencies with the monthly reconciliation process taking into consideration the complexities of different funding sources
  • Develop enhanced financial reporting and enforce compliance with standardized procedures for multiple card programs
  • Determine when an account is not in compliance. Recommend corrective course of action and work with staff to obtain account resolution.
  • Collaborate with university leadership to establish new card programs for the campus. Onboard campus entities as needed to get new programs up and running efficiently
  • Maintain audit documentation for numerous accounts following specific guidelines for each funding source
  • Manage audit requests for backup documentation for various entities – i.e. SUNY, RF, UBF, OSC, etc.
  • Establish a new process to conduct periodic audits and policy compliance reviews on various card holders
  • Complete cost transfers with appropriate documentation between different funding sources
  • Develop communications to include website content and listserv communications as it relates to various functional areas within Financial Management
  • Address continuous account issues, by prioritizing, analyzing, problem solving and expediting responses to all inquiries. This will include prompt responses to staff in leadership roles such as Principle Investigators, UBO’s, Department Heads, etc.
  • Work on special projects, new and enhanced system reporting, process improvement initiatives, participate on committees

This position requires that the individual work collaboratively within a customer focused team environment and must have the ability to communicate professionally, verbally and in writing within a business oriented atmosphere across several interrelated offices. In addition to having strong inter-personal skills, this individual should also possess the ability to be highly organized in a multifaceted administrative environment and have the capability of solving a graduating degree of complex issues on an independent level. The individual must also be capable of learning intricate business processes and function efficiently within a time-sensitive setting.

Minimum Qualifications

  • Bachelor’s Degree in Business Administration, Accounting, Finance or equivalent field, with one year of related work experience
  • Strong interpersonal skills and the ability to work with a diverse population faculty/staff
  • Excellent verbal and written communication skills
  • Strong Organizational skills with the ability to manage competing priorities and meet deadlines
  • Demonstrated ability to use Microsoft Office applications: primarily Excel; Word and Outlook

Preferred Qualifications

  • Proven customer service experience
  • Knowledge of UB software systems: SIRI; Oracle, and RF Report Center
