Departmental Overview
The Division of Data Science and Information is a newly formed Division at the organizational level of our Colleges and Schools. The Division's dynamic structure connects computing, statistics, the humanities, and social and natural sciences to create a vibrant and collaborative environment to accelerate breakthrough research across scientific and technological frontiers. The Division includes Data Science Education, the School of Information, the departments of Electrical Engineering and Computer Sciences and Statistics, the Berkeley Institute for Data Science, and the Data Science Commons. The Division offers programs of interdisciplinary research and teaching at significant scale, and it is continually developing new pathways and programs to advance its mission on campus and beyond. It is fundamentally committed to core Berkeley values of equity and inclusion in the service of society.

The Division is responsible for growing Berkeley's broad-based data science education program, including classes and programs serving thousands of undergraduate students a year. It includes a BA degree in Letters & Science and a new minor. It is responsible for supporting the campus-wide data science education program, including a foundational introductory course, Data 8, which serves over 3,000 students annually and is rapidly growing, together with dozens of connector courses, advanced courses serving thousands of students, and a portfolio of co-curricular programs.

This position involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services includes activities in finance and human resources and may also include IT, facilities, or student services. General management includes long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.

40% Manages, plans and administers a range of administrative operations in the Division of Data Science and Information. Provides support for APD Office (including Data Science Education Programs), BIDS, and Data Science Commons. Administrative operations include budgetary financial management and human resources and some of the following functions: IT, facilities, student services, and/or contracts and grants. Serves as the primary point of contact for departmental staff for answering/researching administrative questions and getting things unstuck in central units and systems, etc.

20% Manages and participates in a variety of human resources activities including employment, training, classification and ensuring the completion of forms and documents related to HR and Payroll for unit/department. Serves as departmental expert and liaison with ERSO for all academic and staff HR matters including hiring, extending/adjusting appointments, for students, ASEs, lecturers, career and contract staff, visiting scholars, etc. Works with CAO and other staff on drafting position descriptions for classification and tracking progress; assists with reviewing resumes, scheduling interviews, completing all end-of-search reports and forms. Manages and tracks contract and renewal status for contract employees Responds to grievances. Manages payroll and timekeeping for the department. Reconciles monthly payroll, processes payroll funding transfers as needed, follows up on payroll issues. Serves as the timekeeper for the department, assists with problems solving, adjusts student errors (primarily missed punches), assists with manual timesheets for missed pay cycles, etc.

10% Develops and prepares budgets and financial reports for funding which may be complex. Provides input into non-technical portions of grant and contract proposals.

10% Performs studies for resource plans, including approaches, trends, sources and uses.

10% Gathers, analyzes, prepares and summarizes financial and HR reports. Run reports as needed in CalAnswers. Assist with financial analysis for the Division including updating forecasts etc in CalPlanning. Responsible for general ledger reconciliation, processing journals in BFS as needed, manages fund balances and chartstrings for purchases, payroll, T&E etc. Oversees BearBuy transactions including purchases, reimbursements, vendor payments, etc. Approves orders submitted by other staff. Oversees and assist with Travel and travel reimbursements.

5% Develops and implements procedures for supply inventory and to keep equipment in good working condition. Administers facilities and space logistics including managing equipment needs, reporting facilities issues, managing card key access to HFA-B, maintaining office equipment, assisting with conference room scheduling/rescheduling, Zoom, Doodle polls. Administrative items - copying, printing, scanning, filing. Acts as safety coordinator for the building.

5% Serves on committees, representing department/unit.

Required Qualifications
  • Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
  • Knowledge of a variety of administrative operations activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Strong skills in short term planning, analysis and problem-solving and customer service.
  • Skills to work collaboratively across various colleges and units on campus.

Preferred Qualifications
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management, both staff and academic.
  • Knowledge of common University-specific computer application programs.
  • Bachelors degree in related area and/or equivalent experience/training.

*The salary range designated for this position: $67,500 - $80,000; however, starting salary will be commensurate with experience.
