Departmental Overview

The department of Environmental Science, Policy, and Management (ESPM) is seeking a Graduate Student Affairs Officer to support our top-ranked graduate program. We are looking for a dynamic, thoughtful, adaptable individual with top-notch advising skills, who enjoys an academic and research working environment.

ESPM is a multidisciplinary academic department in the College of Natural Resources (CNR) on the Berkeley campus, encompassing basic and applied aspects of biological, physical and social sciences as applied to natural resources and natural resource-based production systems. Additionally, the department is part of the Office of the President's Division of Agriculture and Natural Resources and as such, is a research and teaching center of the Agricultural Experiment Station.

ESPM has 56 faculty, 16 Specialists in Cooperative Extension, 11 adjuncts, 8 professors in the graduate school, more than 50 emeriti faculty, approximately 70 visiting scholars and specialists, more than 40 lab assistants and staff research associates, more than 50 GSIs, approximately 160 GSRs, post-doctoral researchers, and approximately 150 students at the graduate level. In total, the department has approximately 600 full-time, part-time, and temporary employees holding staff and academic appointments.

The incumbent will be an advocate for ESPM throughout campus, and will help envision, build and support graduate student advising in the department in campus' administrative structure.


Under the direction of the ESPM Department Chief Administrative Officer, this position is part of a four-person ESPM team and, as such, serves as an integral part of the department team and provides back-up support to the department chair in the absence of the department manager.

Student Advising:
  • Serve as primary advisor to new and continuing graduate students.
  • Provide direction to students on the day-to-day and complex issues encountered in the department, including student recruitment, admissions, curriculum and GSI/GSR appointments.
  • Using advanced student services and guidance concepts, provide a complete menu of student services to the unit's management, faculty and students.
  • Builds and maintains excellent working relationships with key internal and external partners.
  • Involves a wide range of student services duties and responsibilities and provides assistance to the dean/chair, faculty, and students in academic advising, recruitment, admissions, financial aid, the evaluation and awarding of fellowships and block grant funds, student orientation and events, career counseling, and related programs.

Financial Support:
  • Plan, develop and administer the student services budget for the organization.
  • Decides which resources will be committed to goals and objectives, and how they will be allocated.
  • Determine and track funding for students.
  • Collaborate with the Campus Shared Services Human Resources (CSS-HR) and Research Administration (CSS-RA) to ensure that graduate students' funding is administered accurately and in timely manner.
  • Recommend, track and monitor sources of funding, investigate new sources of funding.
  • Stay informed of changes in Graduate Division and other relevant funding and fellowship policies.

Strategic Planning:
  • Recognizes issues that have campus impact or future implications and advises the managed employees and students accordingly.
  • Evaluates the effectiveness of the student services function, and makes changes to the program to provide better service to organizational management, faculty, and students.
  • Represents the student services unit to the campus community and relevant external constituencies.

Graduate Recruitment, Admissions, Job Market:
  • Advise applicants on necessary academic preparation as well as appropriateness of program pertaining to individual goals and interests.
  • Serves as primary contact for applicants and accepted candidates.
  • Coordinate and track graduate admissions process.
  • Ensure eligibility and application completeness for applicants through online application system.
  • Assist faculty in recruitment of candidates offered admission.
  • Organize and implement campus visits of prospective students In February and orientation for new students in August.
  • The successful applicant will have sufficient administration skills to provide support and assistance to job market faculty and job candidates.

Required Qualifications
  • Advanced knowledge of advising and counseling techniques.
  • In-depth knowledge of student programmatic and functional affairs on departmental, campus and university-wide levels.
  • In-depth knowledge of campus and university graduate student affairs policies and procedures, including all financial award matters.
  • In-depth knowledge of the field's post-degree employment opportunities and practices.
  • Knowledge of common University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences or comparable knowledge/experience.
  • Skills in monitoring/assessing people, processes or services, to make improvements.
  • Skills in project management, social perceptiveness to be aware of others' reactions and understanding why they react as they do.
  • Ability in problem identification, reasoning, and attention to detail.
  • Ability to develop original ideas to solve problems, persuasion, leadership.
  • Can develop and implement original ideas and correctly identify and effectively solve problems.
  • Organized and service-oriented.
  • Able to effectively manage multiple important priorities.
  • Possesses good judgment and can assess and handle non-routine situations.
  • Possesses political acumen and excellent interpersonal communication skills and ability to work collaboratively with diverse groups across all levels.
  • Able to work independently.
  • Computer skills; Microsoft Office, Google Suite.
  • Bachelor's degree in related area and/or equivalent experience/training

Preferred Qualifications
  • Experience working in a scientific environment preferred.
  • Experience in advising students in technical and scientific majors preferred

Salary & Benefits

This is an exempt, monthly paid position. Annual salary is commensurate with experience.
