McNair Scholars Program

St. Edward's University of Austin, Texas invites applications for the position of Senior Secretary. The Senior Secretary will provide clerical and administrative support to the McNair Scholars Program. Work involves serving as a liaison between the Director or Assistant Director and University departments and community contacts, maintaining administrative and financial records and procedure manuals, disseminating information, and performing other internal administrative functions. This is a federally funded grant with current funding for one year with a possibility of renewal for five more years.

QUALIFICATIONS: High school graduation diploma required with at least two years of related office management and administrative assistance experience preferred. Experience in higher education desired.

Prior experience working with economically disadvantaged youth. Data entry/retrieval, spreadsheet, and database experience required. Excellent word processing, organizational, interpersonal and verbal/written communication skills required. Experience with Microsoft Word and Excel required

Experience with InDesign and Adobe Photoshop software desired. Experience with web design/maintenance desired. Familiarity with Banner and Concur is beneficial. Ability to work to interact confidentially and professionally with a diverse group of students, faculty and staff. Ability to work collaboratively and cooperatively with diverse stakeholders. Ability to efficiently manage multiple tasks and priorities. Bilingual English/Spanish beneficial. Ability to comply with workplace guidelines and attendance requirements. Demonstrated commitment to McNair Scholars Program mission. Successful completion of an employment and/or criminal history background check required.

  • Maintain administrative and student records, procedure manuals, equipment, and supplies.
  • Maintain student database and confidential paper-based grant documentation.
  • Maintain financial records, track grant expenses and prepare and reconcile monthly expense report.
  • Process mail, purchase orders, and requests for information and materials.
  • Perform secretarial tasks such as answering phones and returning messages, making copies, making appointments, and researching and ordering budgeted office and instructional materials, equipment, and supplies for the program.
  • Assist in making arrangements for student seminars and McNair events.
  • Assist with arranging and submitting payment for student and staff travel.
  • Submit student awards for summer research internship room and board & stipends.
  • Prepare annual Scholar recognition and annual symposium program publications.
  • Create documents, forms, reports, databases, spreadsheets, and informational materials. Initiate routine correspondence.
  • Assist in publishing newsletter, journal and other program materials.
  • Maintain St. Edward's McNair Scholars web page.
  • Perform other duties as assigned.
