This position supports the Dean's Office at Berkeley Law and is responsible for day-to-day coordination and general administrative activities. Administrative services may includes activities in finance, event planning and coordination, IT, facilities, or student services. General management includes long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management staff.

  • Administers a defined operational program or activities for the Dean's Office at Berkeley Law, which may include some of the following functions: finance, facilities, student services, event planning and coordination, communications, informational technology or safety.
  • Responsible for the day-to-day coordination, general administrative operations, daily opening of the Dean's Office
  • Serves as the administrative point of contact for the Dean's Office and responds to all administrative inquiries
  • Manages reception services including, but not limited to, greeting & directing guests, answering questions, provides assistance to students, faculty & staff , answering incoming calls & emails, and prioritizing messages according to urgency.
  • Provides administrative support, and coordination for the Dean's office as well as a variety of on-going interdisciplinary programs and projects that require interaction with students, staff, faculty, alumni, and the greater legal and business community.
  • Maintains and analyzes an active task list of matters that require action on the part of the assigned faculty.
  • Coordinates appointments, meetings and events.
  • Administrative operations include functions related to IS&T, facilities, student activities, and/or contracts and grants.
  • Processes financial and business transactions including invoices and reimbursements in BearBuy; Researches and resolves vendor issues as required.
  • Ensures compliance with federal and state fiscal requirements and internal campus policies, and makes recommendations to maintain compliance as necessary.
  • Coordinates and assists with travel arrangements
  • Collaborates with internal and campus-wide financial experts on best practices and to properly manage reimbursements and expenditures.
  • Manages room reservations in the Dean's Office Suite
  • Manages multiple tasks with competing deadlines.

  • Performs administrative tasks as assigned including, but not limited to, calendaring, filing, sorting & distributing correspondence, updating Campus & Dean's Office business processes, and serving as a backup administrative assistant for the Dean's administration team
  • Manages diverse aspects of event planning, including facilities and space logistics, equipment needs, budget management, registration, site selection, post event evaluation, travel arrangements, catering, publicity and media support, production of collateral material as required for all symposia, conferences, speaker series, and Advisory Board meetings.
  • Manages and maintains vendor relationships.
  • Serves as liaison with other centers, Development Office and other campus programs on events.
  • Responds to routine and non-routine inquiries regarding law school and campus operations, policies and procedures. Forwards situations and issues presented by staff, faculty and external constituents to appropriate staff members for resolution.
  • Makes high-level contacts of a sensitive nature regarding routine and non-routine issues internally and externally requiring a high degree of discretion and diplomacy and time sensitivity.

Required Qualifications
  • Working knowledge and experience providing accurate support and analysis in a changing environment.
  • Knowledge of a variety of demonstrative and operational activities such as events planning, fundraising processes, website management, and accounting.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff, faculty, and the public, both verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Self-starter, able to take initiative and work independently as well as on a team.
  • Strong skills in short-and long-term planning, analysis and problem solving and customer service.
  • Excellent computer skills, including proficiency with MS Office, Google Drive/Docs and experience with online calendaring systems.
  • Strong attention to detail.
  • Prior administrative and/or office management experience.

  • Bachelors degree in related area and/or equivalent experience/training.

Salary & Benefits

This is a non-exempt, biweekly paid appointment. Hourly pay is commensurate with experience within the range of $26.00- $30.00 per hour.

Other Information

This is a full-time (M-F; 40 hours/week) career position.

Due to the nature of the job, the incumbent is expected to work on-site. Telecommuting options are not available for this position.
