Overview

The Dean’s Office is the central administrative unit that provides leadership to Cummings School of Veterinary Medicine. Cummings School provides DVM, master’s, and PhD degrees, and provide advanced clinical training programs. The Cummings School Veterinary Group (CSVG) is comprised of 7 teaching hospitals, clinics, and diagnostic laboratories. The CSVG provides primary and advanced veterinary care for animal patients across New England and serves as the primary clinical training environment for veterinary students, interns, and residents.

 

Reporting to the Dean of Cummings School of Veterinary Medicine, this role will support the work of a school or division Dean or VP by carrying out complex executive administrative duties, handling sensitive communications and managing complex requests for meetings and attention of the Dean or VP.


What You'll Do

The Executive Adminstrative Assistant responsibilites are:

  • Manage and prioritize communications on behalf of Dean or VP with internal and external constituencies. Briefs Dean or VP on priority issues and matters needing attention.
  • Manage email accounts and drafts responses.
  • Draft and refine complex and confidential documents, reports, strategic and tactical plans for school or division.
  • Prepare briefings and materials for presentations.
  • Attend meetings to support and understand content, prepares agendas, compiles minutes and tracks/reports on action items.
  • Manage and prioritize Dean's or VP’s calendar and schedule, including managing high volume of large meetings and overlapping requests. Organizes and plans complex travel arrangements.
  • Oversee operations of Dean's or VP's office. Ensures that facilities and technology equipment needs are met and coordinates or obtains needed services.
  • Compile data and gather information that may be confidential and/or sensitive for internal, external, ad hoc and annual reports for school or division.
  • Organize, plan and/or assist with logistics for retreats and other large school or division-wide events.
  • Manage or participates in school or division-wide projects.
  • May assist Dean or VP in managing and tracking designated budgets and may liaise with budget office to gather and provide budget information.
  • Compile budget information for regular and annual financial reporting.
  • May hire and train student, temporary or support staff. Monitors and recommends support staff needs to ensure effective workflow for Dean's or VP's office.
  • Perform other duties as needed.


What We're Looking For

Basic Requirements:

  • Related Experience, 5+ years
  • Experience supporting top executives of an organization; experience in higher education a plus.

  • Advanced knowledge of Microsoft Office Suite.

  • Financial acumen.

     

  • Advanced organizational, interpersonal and leadership skills.

  • Associate's degree and/or completion of related certificate program strongly preferred.

     


Pay Range

Minimum $34.25, Midpoint $41.10, Maximum $47.95
 

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
