Departmental Overview

The College of Engineering at UC Berkeley is recognized for its educational and research excellence, consistently ranking among the top three Engineering colleges in the United States. With more than 250 regular faculty members, 600 graduate students and 2,700 undergraduate students located in seven academic departments, Engineering is the second largest College on the Berkeley campus. COE occupies ten buildings on the Berkeley campus and has extensive facilities at the Richmond Field Station

The Commencement Coordinator reports dually to the Executive Director of Engagement Programs and Associate Director of Engagement Programs. Responsibilities involve planning and organizing campus event activities, including managing logistics such as facilities, audience management activities, caterers, and vendors, facilitating communication and services with speakers and facility maintenance staff, or providing technical support for these activities.

85% Provides a wide variety of coordinating and administrative functions to support College events, focusing on the spring commencement ceremonies planned for 2022.

Registration database management: Hold primary oversight of the commencement online registration database
  • Checking for duplicate registrations Resolving incorrect registrations Assist graduates with registration as needed. Manage day of event registration platform; overseeing late registration

Manage and update external-facing commencement web pages.
  • Update as necessary the commencement web page

Ticket management and distribution:
  • Serve as primary contact for registrants. Coordinate with Cal Performances and the College's finance office as needed. Liaison with Cal Performances to ensure that ticket distribution complies with contract specifications.

Day-of-event materials/staffing:
  • Oversee production of day-of-event materials, including staff assignments, seating maps, timeline, briefing, etc. Manage data, draft content, and distribute commencement communications to staff, faculty, and students regarding registration, logistics, timing, and other details as necessary. Manage day of event registration platform.

15% Participates in planning, organizing and staffing larger or more complex events, including being assigned responsibility for a specific event segment such as parking/transportation, catering, etc.

Required Qualifications

***This is a five-month, full-time contract position***

Must be able to work all day (14+ hours) for the College's spring commencement ceremonies hosted in spring 2022, dates to be determined.
  • Experience working with database or registration platforms.
  • Working knowledge of concepts, principles and practices of event planning and production and public relations.
  • Strong organizational skills, including skills in effectively coordinating and organizing multiple details.
  • Good interpersonal communication skills and political acumen.
  • Capable of effectively and professionally representing the campus to the public.
  • Sound judgment and effective decision-making and problem resolution skills, including skills to recognize and deal effectively and appropriately with actual and potential problem areas, including the ability to determine the issues/problems that need to be brought to the attention of higher-level staff and management.
  • Skill to maintain confidentiality.
  • Hold a valid California driver's license.
  • Ability to lift 25-50 pounds with assistance if needed.
  • Ability to work outside of regular work hours to include nights and weekends as needed.
  • Bachelors degree in related area and equivalent experience/training.
