Position Summary
The Department of Student Accounts within Business Services at the University at Buffalo is seeking a Staff Assistant to work closely with various university departments who have a vested interest in student retention by ensuring that student’s finances are in order. The primary responsibilities will include (but are not limited to):

  • Maintain student account records
  • Oversee the application process for New York State residency program for tuition purposes
  • Assist with gathering and analyzing data within the student information’s system
  • Be involved with the planning and preparation of the student information’s system module training materials and is responsible for scheduling and presenting training sessions for staff on existing and new business processes
  • Responsible for drafting communications to staff, students and parents regarding student account records, and updating the student accounts website content
  • Oversee the customer service aspect of the office, including monitoring the phone and email system
  • As a member of the Student Accounts office, the Staff Assistant will become knowledgeable with the various other functions throughout the office including but not limited to billing, payment plans, refunding, collections, posting of financial aid and other charges, reporting, etc.
  • Assist in our 1Capen one-stop student services office. The successful candidate will be a person who will provide outstanding customer service and will address a wide range of unique problems using reasoning and judgment.
  • Present at New Student and Transfer Orientation sessions
  • May be asked to attend Accepted Students Day and Open House events
  • Oversee the refunding process, which includes maintaining run controls with specific criteria to properly refund various types of overpayments.
  • Nelnet (QuikPAY, third party vendor)- have an understanding of how payments, refunds and payment plans are done.
  • Website maintenance- review, monitor and update website for any changes that need to be made, maintain and update the news and announcement section and the calendar.

Minimum Qualifications
Associates degree with 2-3 years of experience in a financial setting (i.e. billing, collections, accounting, financial aid, finance, or budget). Proven ability to work in an environment controlled by federal, state, and/or institutional guidelines. Excellent communication (oral and written) and interpersonal skills. Computer literate in Microsoft office software, particularly Excel and Access applications.

Preferred Qualifications
Bachelor’s degree in business, finance or accounting. Experience with PeopleSoft Student Financial Module.
