This position is responsible to provide the full-range of administrative support for the Dean of the College of Arts and Sciences, the Associate Dean of the College of Arts and Sciences and assigned College of Arts and Sciences programs and events; and to assist in maintaining relations with faculty, staff, and students, to handle scheduling for the Dean and Associate Dean.
This position reports to the Dean of the College of Arts and Sciences. The incumbent is one of three administrative assistants providing required secretarial and administrative support of the Office of the Provost. The assistant has shared responsibility for ensuring that professional administrative services are provided for the Provost’s office suite.
The Administrative Assistant ensures that the Dean of the College of Arts and Sciences and the Associate Dean receive necessary secretarial and administrative support. The incumbent also has a central role in working with faculty on behalf of the Dean to ensure that policies and procedures with regard to faculty and related administrative matters are handled efficiently. The Administrative Assistant operates within established guidelines and policies, but applies independent judgement in performing varied administrative support assignments for the Dean.
Administrative Support: The Administrative Assistant is responsible, in conjunction with the other Administrative Assistants, to greet visitors to the Office of Provost suite and create a comfortable and inviting atmosphere. In addition, the incumbent provides all secretarial support for the Dean of the College of Arts and Sciences and the Associate Dean, personally handling as many inquiries as possible or forwarding to appropriate staff member. The Administrative Assistant provides necessary correspondence, report generation, scheduling, word processing, typing, copying and related secretarial support required by the Dean of the College of Arts and Sciences and the Associate Dean. The incumbent is responsible to provide logistical and event planning for CAS and University events.
Faculty Support and Liaison: The Administrative Assistant provides a variety of support services to faculty including assisting new faculty with logistics for office set up and technology needs; assisting with new adjunct faculty orientation through distribution of certain University policies and related information; and effectively responding to faculty requests for information on academic or university policies.
Special Projects: The Administrative Assistant provides required support to the Dean and Associate Dean on special projects including, but not limited to, accreditation efforts, CAS programs, search committees, and special meetings and CAS events. The incumbent assists with records management and correspondence, including the but not limited to, the coordination and editing of the College of Arts and Sciences magazine; liaison with other University departments; and coordination of logistics and schedules, as appropriate.
