Position Summary
The University at Buffalo (UB) office of the
Vice Provost for Faculty Affairs (VPFA) seeks to hire an
Administrative Staff Assistant to provide executive support to the office of the Vice Provost for Faculty Affairs. As a highly visible staff member, the Assistant serves as primary liaison with all parts the university with a wide-range of constituents including; staff from the offices of the president, provost, deans, vice presidents, vice provosts and faculty throughout the university, as well as external constituencies.
Key accountabilities and responsibilities include, but are not limited to:
- Financial Management
- Event and Meeting Planning, Implementation and Management
- Administrative Coordination
- Communication and Project Support
- Personnel Administration
The successful candidate will:
- Exercise sound and independent judgement in support of the Vice Provost and Office of Faculty Affairs;
- Build strong and cooperative relationships with the university community;
- Perform tasks and responsibilities that maximize the effectiveness of the VPFA;
- Independently manage the day-to-day workflow and projects within the office of VPFA. (This position reports to the Vice Provost for Faculty Affairs.)

VPFA facilitates a culture of faculty excellence in the areas of research, teaching and service. The
VPFA office coordinates the university’s promotion and tenure process; welcomes and orients new faculty to UB; assists deans, department chairs and faculty with issues associated with hiring and retention; builds programs to orient new department chairs and improve their management skills, facilitates the nomination process for national, internal and external awards and partners with the Vice Provost for Equity and Inclusion to develop proactive strategies for enhancing faculty diversity.

Minimum Qualifications
- Bachelor’s degree
- Experience performing administrative tasks or providing customer service
Preferred Qualifications
- Experience interacting with a broad and diverse population
- Familiarity with Microsoft Office products including Word and Excel
- Experience with University at Buffalo policies, procedures and administrative business systems
- Experience providing administrative support to a department head or executive
- Experience with program/event planning and logistics
