The Library Development Administrative Assistant serves an important role as part of the University Library's fundraising team and is responsible for supporting the day-to-day operations of the Library Development Office. Reporting to the Executive Development Director, this position works with the Library's front-line fundraising team and provides a high level of administrative support to functions spanning major gifts, donor discovery, donor stewardship, donor events, and communications between the Library, its campus partners, and current and prospective donors.
  • Provides high level daily administrative support for the Library Development team, with a particular emphasis on support for the Executive Development Director.
  • Liaises with Library finance, facilities, information technology, and security units regarding office needs.
  • Serves as a point of contact for the Library Development team with campus officials and University Development and Alumni Relations (UDAR), as well as librarians and other staff within the 24 UC Berkeley Library system.
  • Records and maintains donor information in the donor database (CADS & RE) including but not limited to maintaining biological information, donor contact reports, and giving information.
  • Performs administrative tasks for the office and donor records, including filing, organizing and creating new records
  • Assists with managing the Library board including taking minutes at meetings, scheduling and planning meetings, and other logistics.
  • Prepares relevant donor briefings and background materials for the Library Development team and ensures that materials are provided in a timely manner for review.
  • Schedules and manages meeting planning, logistics, and execution.
  • Performs other related tasks as requested by Executive Director, fundraisers, and staff to support the Development Office and its programs, including correspondence, printing and mailings.
  • Conducts research and discovery on donors and funds to support proposal and prospect development.
  • Assists the Library Development team to prepare for donor visits, including scheduling and confirming appointments and making reservations, as well as compiling reports, spreadsheets, presentations, and/or information packets.
  • Provides customer service to alumni, donors, and friends of the Library and answers routine inquiries, including questions received by phone or email related to the Library's development activities.
  • Assist with hospitality of visiting donors.

Required Qualifications
  • Demonstrated successful experience providing comprehensive administrative support in a comparable, fast-paced environment.
  • Knowledge of basic concepts and principles of building and maintaining effective relationships with a variety of constituencies that include faculty, staff, and donors.
  • Highly developed organizational, coordination, time-management and problem-solving skills; ability to prioritize, work under pressure, and meet deadlines.
  • High degree of professionalism as demonstrated by the ability to integrate over-arching organizational goals with multiple management priorities and individual constituent needs.
  • Exceptional judgment requiring minimal direction for regular tasks as well as the maturity and insight to recognize situations where guidance is warranted.
  • Project management skills, and ability to keep good notes and organize with focus on, and attention to, detail.
  • Customer service orientation and ability to be flexible and adaptable to change.
  • Strong oral and written communication skills as well as proof reading skills.
  • Experience with prospect research techniques and databases.
  • A high level of proficiency with Microsoft Office Suite, Google applications, calendaring systems, and ability to learn other software and systems as required.
  • Demonstrated ability to handle sensitive matters with discretion and tact, and to maintain strict confidentiality.
  • Available to work a variable schedule with occasionally involvement in events and other Development activities on evenings and weekends.

Preferred Qualifications
  • Development/Advancement experience in an institution of higher education.
  • Administrative experience.
  • Knowledge and experience with campus systems, BAIRS, BearBuy, bConnected applications and CADS and/or Raiser's Edge.

Salary & Benefits

Salary range for the position is $24.17 - $29.02 per hour and commensurate with experience.
