University Development and Alumni Relations (UDAR) strengthens Berkeley's excellence through engagement with alumni, parents, undergraduate and graduate students, and friends of the University, raising public awareness about Berkeley and increasing private philanthropy. UDAR provides overall direction for the campus' philanthropic advancement strategies and works to strengthen unit development in partnership with campus fundraisers. The Division handles a range of central activities and services encompassing communications, stewardship, prospect development, gift management, and more.
Donor and Gift Services provides an end-to-end spectrum of service that picks up from the point of donor solicitation and follows a gift through processing and acceptance, fund creation and management, and donor acknowledgement and recognition. It has delegated authority to accept gifts on behalf of the UC Berkeley Foundation and the UC Regents, has administrative responsibility for all private charitable contributions to UC Berkeley, representing cash and pledges of approximately $600 million annually, and manages nearly 7,000 active current use, capital and endowed gift funds. As an active advocate for donor interest, Donor and Gift Services manages an array of programs that acknowledge and recognize donors in meaningful ways, report to them on the impact of their philanthropy, and engage them with the campus units. Donor and Gift Services is comprised of three teams: Gift Services, Fund Management, and Donor Recognition.
Gift Services is responsible for recording and receipting gifts and pledge payments, and pledges including those made via check, credit card, and wire transfer, as well as recording gifts, pledges and pledge payments in and providing support to units who do their own gift depositing and entry locally using the Gift Management Module (GMM) of the Cal Advancement Data System (CADS). All Gift Services staff are responsible for providing excellent customer service when interacting with donors and colleagues.
- Oversee delivery of quality customer services to various constituencies to include campus units, fundraising and advancement colleagues, and donors.
- Interprets related policies and advises campus departments accordingly.
- Informs campus users of proper procedures for handling complex gifts for accurate processing.
- Serves as a resource for campus units regarding policies related to gift entry and data integrity.
- Gather feedback and analyze trends to help inform future campus outreach and communications, including intranet content on specialized topics.
- Applies subject matter expertise to act as first point of contact/escalation for transactional problem solving within Gift Services.
- Provides feedback to Gift Services leadership on trends related to problematic transactions or processes.
- Serves as a team project manager and subject matter expert in multiple ongoing Gift Services continuous improvement projects, including researching, developing, testing and implementing new and changing business processes.
- Serves as subject matter expert and managerial liaison for specialized functions.
- Recommends changes to current practices that affect functional area.
- Makes recommendations for new and improved procedures or policies affecting gift entry and data integrity.
- Develop and maintain systems to organize functional workflow, escalate issues to Gift Services leadership, and gather metrics for analysis.
- Participates in the analysis and design for new services or financial operational systems or processes that have critical campus wide impact.
- In collaboration with Gift Services leadership, develops goals and objectives to promote responsible gift acceptance within Gift Services in support of the operational, stewardship, and reporting goals of UDAR and campus advancement units.
- Initiates and designs summary reports and background materials regarding a wide variety of internal and external policies and regulations to address a range of issues such as regulatory compliance and the organized implementation of new services, procedures, and policies related to receipt, processing, and reporting of gifts.
- Provides initial triage of inbound transactional and customer service work.
- Analyzes trends, monitors volume and communicates staff resourcing needs to Gift Services leadership
- Ensures compliance with federal and state requirements, CASE Reporting Standards and University policies; stays current with changes in the law. Participates in audits of internal records and processes.
- Analyzes accuracy and completeness of gift data using in relevant advancement databases, hard copy files, and departmental records. Completes gift audit projects as assigned.
- Applies professional financial and accounting concepts in the area of gift acceptance and administration to independently perform analyses of moderately complex financial services such as researching discrepancies and tax implications and compliance with external regulations and internal policies.
- Applies comprehensive knowledge of CADS, GMM, CDS, CyberSource, Give to Berkeley, the automated image redaction utility, as well as University and UC Berkeley Foundation policies and practices of accepting, recording, depositing, auditing, receipting, and adjusting gifts.
- Identifies and resolves discrepancies in deposits, transaction reports and documentation, and fund designations.
- May engage with campus units, donors, and vendors to research and correct issues with gifts, pledge payments, and pledges.
- May perform queries and data analyses in CADS.
- Reviews, processes, and approves standardized financial data and transactions.
Specific activities that may be assigned include:
- Collect and triage transactions made through more than a dozen entry points, including online and through the mail;
- Deposit donors' checks and/or charge donors' credit cards;
- Enter transaction data using the GMM;
- Review GMM entries, and upload, post, and add gifts to CADS;
- Adjust proposal and pledge data in CADS to reflect gifts and pledge payments;
- Print batch verification reports and prepare batches for audit;
- In collaboration with Advancement Information Management, identify and request the purging of duplicate records, and move transactions to the correct records;
- Create new donor records;
- Review batch verification reports and documentation for appropriate gift allocation, donor record, credit date, amount, gift fee, appeal code, etc.
- Review gift documentation for terms and conditions and for proper depositing to either the UC Berkeley Foundation or UC Regents;
- Ensure that gifts are coded with the appropriate fees, and that gifts for which the gift fee is waived are properly documented and suppressed from automated transmission to the general ledger;
- Prepare donor receipts.
- Make adjustments to posted transactions as requested by donors or colleagues, or to correct errors;
- Perform analysis of aging suspense items, prioritizing research and resolution to impact various deadlines.
- Review and record in CADS grant activity from charitable foundations,
- Provide copies of documentation to colleagues.
- File documentation in accordance with UCOP retention schedule.
- Intermediate knowledge of financial or accounting concepts, policies and procedures, as well as related accounting and regulatory compliance requirements.
- Ability to interpret and apply written policies, procedures, and regulations.
- Advanced skill in using computer and information management systems, and Microsoft Office and common desktop/web applications.
- Proficiency in use of Microsoft Office, Google Suite and common desktop/web applications.
- Excellent problem-solving, analytical, organizational and critical thinking skills.
- Excellent interpersonal skills with sophisticated service orientation and an ability to work effectively with diverse personalities and staffing levels
- Ability to be flexible in a dynamic, high volume environment.

- Bachelor's degree in related area and/or equivalent experience/training.
- Experience working in a university department, school, or college.
- Gift and fund knowledge and experience.
- Knowledge of or ability to learn campus and systemwide financial processes and procedures.
- Demonstrated 3 to 4 years of working knowledge of University and campus gift policies, or ability to learn.
- Working knowledge of or ability to learn online campus systems such as CADS, CDS, Cal Answers, and BFS.
Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience.
