Position Summary

The Department of Industrial & Systems Engineering (ISE) in the School of Engineering and Applied Sciences (SEAS) the University at Buffalo seeks to fill an Undergraduate Academic Coordinator position.

Duties and Responsibilities include:
Student advisement/Retention:
    • Steward the academic and administrative functions for the undergraduate programs offered by the department. The focus is on undergraduate students who have declared a major, minor or special degree program overseen by the department and are at the junior/senior level of degree progression.
    • Monitor academic progress of current students, review their course enrollments and work with students to ensure that all prerequisites have been met.
    • Identify students not meeting prerequisite requirements and communicate with them to initiate the drop process.
    • Manage all student force registration requests.
    • Interact with student through posted office hours and email.
    • Communicate confidentially with students when constraints prevent them from securing desired classes due to financial services checkstops, credit hour limits, etc.
    • Assign faculty advisor to each undergraduate major who has reached the junior level of degree progression and update annually until student completes bachelor’s degree.


Undergraduate Courses:
  • Create, review, and edit departmental Undergraduate Course Catalog listings.
  • Process new-course proposals.
  • Secure course textbooks, desk copies, and companion solution manuals as appropriate.
  • Response to schedule all undergraduate courses, during, Fall, Spring, Summer and Winter session to insure that required courses are offered as required to meet degree requirements.

Career Opportunities:
  • Make students aware of internship opportunities and coordinate internship opportunities with SEAS Dean’s Office.
  • Notify students aware of career opportunities (job opportunities) and coordinate with UB Career Services.
  • Inform students on Study Abroad opportunities.

  • Update day to day content on the department website.
  • Send email communications to students, alumni and departmental friends about events, news and other announcements.
  • Maintain all department mailing lists to ensure that they are current.
  • Alert SEAS Communications to student/faculty/alumni achievements.
  • Draft content for marketing and recruitment materials (i.e. postcards, e-newsletter, undergraduate program flyers, newsletter, etc.) for SEAS Communications.
  • Help with scheduling photography/distributing photos.
  • Maintain and grow social media channels with guidance from SEAS Communications.
Reporting and Analysis:
  • Collect information to facilitate the advisement process by generating and evaluating reports for faculty and administration using UB information systems.
  • Assist the Directors(s) of Undergraduate Studies in the collection, analysis and reporting of learning outcomes assessment data as required by ABET.
  • Create and administer student, alumni and employer surveys, especially those related to ABET objectives.
  • Assist in organization and presentation of departmental portion of Orientation, Open houses, Preview Day and Commencement.

Minimum Qualifications

  • Bachelor’s Degree required.
  • Two years of experience in higher education administration, administrative support, fiscal management, or a related field.
  • Experience with MS Office products, Word and Excel.
  • Applicant must possess strong writing, communication and data management skills as well as excellent interpersonal skills.
  • Applicant must be highly organized and able to handle multiple tasks.

Preferred Qualifications

  • Master’s Degree preferred.
  • Three years of experience in higher education administration, administrative support, or fiscal management.
  • Experience with UB systems HUB, and SIRI
