Position Summary
The School of Pharmacy and Pharmaceutical Sciences (SPPS) is seeking a Research Administration Staff Assistant to manage research administration activities in support of the faculty. This position provides administrative, operational and financial support to SPPS research enterprise. As an active member of research teams, will provide support to pre and post award activities of the School’s faculty. The Research Administration Staff Assistant will be part of the Office of Research Administration and report to the Director for Grants and Contracts and work with the Associate Dean for Research and the Office of Resource Management. Responsibilities include:

  • Provide post award management to faculty including detailed reconciliation of assigned project budget with consideration for allocability and allowability of charges; perform PI account reconciliations to ensure all personnel and OTPS needed can continue to be covered by the award; monitor end dates for all grants falling under your PI portfolio; track PI effort; coordinate with principle investigators to ensure compliance with grant guidelines and effect changes as required; manage budget, reporting and compliance timelines through the lifecycle of the grant or contract .
  • Provide pre award management and advise and assist SPPS faculty and staff with grant and/or subcontract proposals, which may include research development, review, editing, and completion of various federal and non-federal packages. Act as liaison between the faculty and Sponsored Projects Services. Develop budgets and budget justifications which include proofing the budget for inconsistencies, ensuring accuracy with budgets, obtaining SPS review and approval.
  • Provide administrative support which requires the application of technical skills and a detailed knowledge of the activities and procedures specific to the Office of Research Administration. Ensures that the office administrative functions are effectively executed such as the coordination of meetings, travel, registrations, and supply orders, maintaining departmental files and development of department policies and procedures.

Minimum Qualifications

  • Bachelor’s Degree
  • Must be able to work independently, functioning with limited direction/supervision.
  • Must be able to work as a team; demonstrating innovative thinking, facilitation, and consensus building skills.
  • Must have the ability to handle complex, confidential and time-sensitive duties by determining priorities, appropriate actions, and follow-through of work to a timely completion.
  • Productivity and efficiency are absolutely essential.
  • Must be able to handle multiple assignments in a deadline driven environment.
  • Must have the ability to anticipate needs, use good judgment, and meet deadlines.
  • Must provide attention to detail and work well under pressure.
  • Excellent communication (oral and written) with all levels of faculty, administrators, and staff with the ability to comprehend and make inferences from written material.
  • Must possess strong interpersonal skills with a great customer service attitude.
  • Mastery of office computer software programs required: Microsoft Word, Excel, Outlook, Access, and PowerPoint. Must be able to navigate Internet applications.
  • Must maintain a high degree of confidentiality.
  • Must be flexible with a proactive approach to work.

Preferred Qualifications

  • Four or more years experience working in busy office environment.

Physical Demands
Salary Range $44,000 – $50,000
