Departmental Overview

The Interlibrary Services Department (ILS) of the UC Berkeley Library handles the borrowing and lending of library materials with other institutions in order to support researchers in all fields and languages. Clientele are faculty, staff, students and independent researchers from UC Berkeley and around the world. The department is comprised of two units: Interlibrary Lending/Photoduplication (ILL/P), and Interlibrary Borrowing. ILL/P handles requests from clients worldwide for the loan or duplication of material held by the UCB libraries. Special Agreement Libraries (SAL) is the section of this unit that handles requests from other UC campuses, Stanford University, and UT Austin. The Interlibrary Borrowing Service (IBS) processes requests from UC Berkeley patrons wishing to obtain material from other institutions. The Baker Service, a component of IBS, is a fee-based document delivery and retrieval service available to UC Berkeley faculty, staff, and graduate students. In addition to the standard suite of software used by most library staff, ILS uses specialized equipment and software to receive, send, fill, deliver and track interlibrary loan and document delivery requests, as well as payments owed or collected.

Responsibilities

  • Download new Lending requests from OCLC, using ILL Autocheck, CLIO software, and ILL web request forms. Perform initial processing and sorting of requests.
  • Perform complex bibliographic checking of incoming requests, using OskiCat, Millennium, MeIvyI, and various article databases. Resolve problems with vague or incomplete citations, and route requests to the appropriate library location for fulfillment.
  • Update time-sensitive filled and unfilled requests in CLIO, and export results to OCLC. Apprise web requestors of the status of their requests.
  • Retrieve books from Main Stacks, and Subject Specialty libraries when necessary.
  • Utilize a range of library equipment, including flatbed and overhead scanners, and microfilm readers. Verify that material being loaned is correct and complete.
  • Ensure that library material is loaned in accordance with department policies and procedures, particularly in regard to condition.
  • Assist the supervisor in the handling of overdues and recalls, contacting borrowing institutions when necessary.
  • In the absence of the supervisor, monitor the work of the student workers; ensure that the work of the unit is properly prioritized; serve as support for the student workers.
  • Check out items in Millennium to, ensuring that the due date is correct and any loan information is complete.
  • Ensure that the morning courier delivery from the UC campuses is opened, and that the material is checked for completeness and condition, and delivered to the appropriate units.
  • Prepare library material for shipping to UC and non-UC locations, ensuring that due care is taken regarding packaging, and that packages are labelled accurately. Ensure that the shipment is prepared in time for system-wide courier, FedEx or UPS pick-up.
  • Assist in the training of student workers in the department's shipping and receiving procedures, and ensure that they are performing to expectations: monitor their work and take such non-disciplinary corrective action as may be required; refer significant performance problems to the supervisor.
  • As needed, assist in preparing the afternoon courier pick-up, including the proper packing of material and the creation of shipping labels using the courier service's website.
  • Monitor shipping supplies and equipment, and UC-contracted courier invoices; check for discrepancies and notify the supervisor of orders placed or other issues.
  • Ensure that the shipping area is orderly, uncluttered, and free of potential hazards.


Required Qualifications

  • Recent ILL experience, preferably in an academic library.
  • Experience using various parcel shipping software programs (or verifiable proficiency in the use of software applications generally). Ability to lift up to thirty pounds; push and pull loaded book trucks and carts of materials; load and manage shipping supplies including pallets of boxes and other materials.
  • Substantive, recent experience using ILL systems and software, such as Worldshare ILL, CLIO, or another ILL management system.
  • Recent professional experience performing complex bibliographic searching of library catalogs and various online article databases.
  • Professional experience using an Integrated Library System.
  • Demonstrated experience using scanners, microfilm readers, and other library-related equipment.
  • Strong oral and written communication skills.
  • Demonstrated proficiency with standard professional software, such as the MS Office suite (Excel, Word, etc.), Adobe Acrobat XPro, Google Drive, and other Google apps.
  • Demonstrated ability to communicate with the public by phone, email and in person in a professional manner.


Preferred Qualifications

  • Knowledge of UC Berkeley circulation policies/procedures
  • Experience working in a high-volume, fast-paced environment.
  • Familiarity with the location and layout of the U.C. Berkeley libraries.
  • Experience working with student employees and collaborating with multiple library units and departments.
  • Demonstrated ability to perform multiple tasks simultaneously.


Salary & Benefits

$21.88 - $24.87 per hour
