Embry-Riddle Aeronautical University is now hiring a Veterans Program Administrator for the Daytona Beach campus. The Veterans Program Administrator is part of the Veteran Student Services (VSS) team. This position will serve as a school certifying official, program manager, and provide operational and administrative support services to the VSS staff, as well as hundreds of military affiliated students across the University. Responsibilities will include general office duties such as managing calendars, scheduling meetings, and providing coverage at the VSS service desk when needed. The incumbent will also be responsible for providing support in planning and coordinating VSS events and workshops, and producing communication and marketing materials in conjunction with VSS staff. The incumbent will be responsible for all departmental budget and purchasing needs. Other duties will include overseeing data management and VSS social media updates.

Veteran Educational Benefits:
The Veterans Program Administrator will serve as a School Certifying Official, processing Veteran Affairs (VA) Education Benefits Certifications for Veteran Student Services (VSS). Processing includes tuition and scheduling calculations, submissions to the VA through the VA Once system, and determining amendments and adjustments due to student scheduling changes. The incumbent will be responsible in reporting VA educational benefits paid to Embry-Riddle Aeronautical University. These updates are needed in order to stay within compliance of state approval authorities and VA annual inspections.
This position will meet with students on a case by case (walk-in) basis to go over specific questions or issues they have regarding their VA benefits. Common issues that are addressed include determining why an expected payment has not been received, articulating how VA benefits can be used with other benefits and during non-traditional terms (summer), discussing how the overall benefits process works, the use of benefits for study abroad programming, and pre-advising orientation.
The position also contacts the VA to verify benefits information and to advocate on behalf of students that experience unique situations regarding their benefits.
Will be assigned as the manager of our Access database. Incumbent will process queries in Access to pull specific data and assist VSS business processes. Run pre-existing queries to satisfy requests sent to the office regarding veteran student data, such as graduation reports and general enrollment summaries.
The incumbent will also work on an internal Excel student database that operates as our method of tracking students that are certified for using benefits in the current term.
Manager of VSS social media sites to include general office communication, event information and materials from community partners. Act as main source of communication through email notifications to current students regarding upcoming events, scholarship and job opportunities, and information regarding VA benefits. Assist the Director when sending out official email communication from the office.
Perform duties as budget liaison for Veteran Student Services. Duties include communication with University Budget & Finance Office, purchasing of VSS equipment and student lounge food items. Educate VSS staff on updated policies and procedures regarding travel, purchasing, and use of corporate card. Work in collaboration with the VSS Director on reviewing all expenses, and reconciliation of budget at the end of the fiscal year.
The Veterans Program Administrator will provide coverage at the VSS service desk when needed. Duties will include submission of enrollment certification paperwork, and referring students to veteran service organizations. Incumbent will resolve routine issues and must provide excellent customer service when assisting at the service desk. Also, responsible for reviewing documentation (DD-214s, Letters of Eligibility) required for a student to receive VA benefits.
Incumbent will manage logistics in planning and coordinating VSS events and workshops. These events will include but are not limited to: transition workshops, graduation activities, new student orientations, career events, social events, staff meetings, and veteran’s alumni events. Events will typically range in attendance from 10-100 guests. Incumbent will be responsible for most facets of the event operations including but not limited to reserving event space, booking catering, creating invitations and tracking RSVP lists, marketing, ordering gifts or other necessary supplies, and preparing program agendas. Incumbent will be responsible for reporting expenses to the Director as the event preparations progress.
Minimum of 1-3 years of work related experience.
Understanding of VSS and University policies and procedures.
Understanding of the VA and government educational benefits programs and student information in order to sort and display various categories of military affiliated students.
Possess a high degree of analytical skill in order to evaluate information and make decisions that will affect VA educational benefits usage and students’ opportunities and success at the University.
Exceptional written and verbal communication, organization, attention to detail, and proofreading skills are required.
Proficiency in all Microsoft Office programs, VA Once software, and Campus Solutions.
Proficiency in social media (Facebook, LinkedIn, Instagram) and imaging software.
Multiple tasks must be prioritized to meet schedules and deadlines.
Experience in a higher education Veteran Student Services department.
