Essential Duties and Job Responsibilities
We are seeking an administrative assistant who excels at communicating clearly and calmly with students, referral sources, and office staff while multitasking a variety of responsibilities in a sometimes fast-paced environment. The right candidate will be able to work independently and take direction from staff, be proficient with PC computers, Banner/Colleague, MS Office program, smartphones and texting, able to implement and manage Titanium Counseling Software, and multitask calls, emails and greeting clients.
Performs general office duties, including answering phones using good customer service, greeting students, guests and visitors, scheduling appointments, preparing materials, filing, and processing incoming and outgoing correspondence.
Responsible for checking in students and guests.
Manage student and staff calls, emails, texts and faxes.
Implement Titanium and schedule and track clients using Titanium scheduling system/. Troubleshoot scheduling and other related issues.
Assist Counseling Center staff with developing outreach and engagement programs.
Provides administrative support to the Counseling Center Staff as needed.
Maintains office supplies, coordinates travel and completes purchase order requests process.
Maintains sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds.
Seeks opportunities to gain knowledge and implement more effective and efficient processes
Supports the mission, vision, and values of the University.
May require evening and weekend hours of operation during major programs and events. Performs other duties as assigned which support the purpose and initiatives of the Counseling Center.
High school diploma or GED required.
Associate’s degree in Business Administration, Professional Administration, or related preferred.
1 – 3 years of experience required.
Knowledge and experience working in HBCU communities.
Knowledge of student affairs and student activities programs.
Working knowledge of higher education and diverse student populations.
Must have a valid driver’s license or ability to obtain within 30 days of employment.
