Departmental Overview
The Bioengineering Department at UC Berkeley operates two distinct professional masters' degrees to train students to be leaders in the fields of Translational Medicine and Bioengineering. The Student Services Coordinator will help meet the unique needs of both programs.

The Master of Translational Medicine (MTM) program is a one-year program offered jointly by Berkeley Bioengineering and the Department of Bioengineering and Therapeutic Sciences at UCSF. Students in the program learn the many facets of bringing a new medical innovation from initial concept to clinical implementation. This position is essential to recruiting, and ensuring the academic success of this unique student population.

The Master of Engineering in Bioengineering (MEng) is a collaboration between Berkeley Bioengineering and the Fung Institute for Engineering Leadership and Berkeley. Students learn practical problem solving and core management concepts while honing technical skills.

The Student Services Coordinator will act under guidance from the Executive Director of the MTM (and with input from the Faculty Director and the Graduate Student Advisor), is responsible for administrative activities to recruit new MTM and MEng students, support existing students, and engage program alumni.

The position involves a wide range of student services duties and responsibilities spanning both campuses. The Student Services Coordinator oversees administrative aspects of course enrollment and degree issues, capstone projects, new recruit and student-oriented events, and student/alumni database management. Additionally, the position will document student activities for outreach and recruitment purposes. Provides assistance to the director, faculty, and students in recruitment, admissions, orientation, academic advising, and financial aid.

Responsibilities
35% Academic Advising: Provides advice and assistance to students on academic and degree progress and program requirements; assists students in determining appropriate electives, resolving scheduling conflicts, and similar issues.

*Advise enrolled students on how to obtain information on a variety of topics, including but not limited to financial aid opportunities, University petitions and deadlines, housing, and program requirements. Processes routine forms, such as grade changes or petition to change an incomplete grade. Ensure that University deadlines, such as filing SIR, safety training, advancement to candidacy, and degree lists are met on both campuses. Provide information to students about opportunities such as lectures, industry events, and special classes.

*Assist students with University administrative functions such as fee payments and travel reimbursement. Refer inquiries to department staff or other campus offices when appropriate. Assists with processing fellowship awards and other financial transactions.

*Student Conduct: Provides information to students and faculty regarding campus policies and procedures on student conduct.

*Database Management: Oversee development and maintenance of MTM student and alumni databases including all relevant academic and career information needed to track prospective applicants, current students, to alumni. Routinely update databases to ensure records are accurate and current. Use external resources (such as LinkedIn) and surveys to monitor alumni progress. Produce a variety of special reports for topics such as student outcomes.

30% Recruitment and Admissions: Assists in recruitment activities, including writing or editing materials, and representing the school/college/department at admissions events and other forums. Under direction and guidance, implements aspects of events to enhance recruitment and yield.

*Handles general phone and e-mail questions about deadlines and requirements for both programs and refers other more detailed issues to the appropriate person or unit.

*Update MTM web pages as needed. Add and/or remove event information, change program requirements, update course information, and other general data as needed.

*Work with students in the MTM program to capture student experience through a variety of visual and written media. Collaborate with stakeholders to create outreach content such as videos, blog entries, newsletters, etc to share the student experience with prospective applicants and alumni.

*Under direction and guidance, manage online advertising campaigns for the MTM program, interfacing with outside consultants to implement ads through platforms such as Google and Facebook.

*Assist in admissions activities for both programs such as monitoring applications, faculty review of applications, gather missing application materials and documents from candidates, and enter decisions.

*Coordinate with departments on both campuses (including, but not limited to, registrar, graduate division, health centers, Fung Institute, and LBL) to ensure incoming students are appropriately enrolled in their program, receive necessary access, and are ready to enroll at the start of the term.

*Provide data for statistical projects and special outreach efforts as requested by e.g., the College of Engineering, the Graduate Divisions on both campuses, and department representatives. Provide statistical and tracking data throughout recruitment cycle.

*A portion of the above responsibilities may be accomplished through direction and supervision of one or more student workers.

20% Events: Coordinate and implement non-complex student events and assists in the planning and implementation of complex events.

*In conjunction with department staff, assist in planning and execution of prospective student information events, Orientation, Masters Mixer, Capstone Showcase, Final Symposium, Career Events, Industry Site Visits, Industry events, and Alumni Receptions.

*Plan and conduct other special events as needed.

15% Course and Project Support: Under guidance of MTM Executive Director and Faculty Director, work with faculty, department staff, and partners such as Fung Institute to ensure that MTM courses are scheduled at compatible times on both campuses. Maintain lists and updated schedule of common MTM classes on both campuses. Ensure that appropriate forms, such as IP acknowledgements, are completed in timely manner.

*Schedule MTM capstone project presentations and coordinate the project team selection process. Throughout year, manage communications with MTM mentors and students for ongoing evaluation of student progress. Maintain database of prospective project mentors.

*Update bCourses site, calendar for cohort, and other appropriate resources with class documents, required classes, and optional events. Help maintain MTM student workspaces on both campuses.

*Monitor Bioengineering 200 level course enrollment development and maintain data on enrollment and trend.

  • Requires occasional travel between campus and UCSF.


Preferred Qualifications
  • Knowledge of advising and counseling techniques.
  • Knowledge of University-specific computer application programs and pertinent databases.
  • Knowledge of University processes and procedures.
  • Understanding of University rules and regulations.
  • Bachelors degree in related area and/or equivalent experience/training.

*The hourly salary range designated for this position: $22.08 - $31.70; however, starting salary will be commensurate with experience.

*This is a one-year (100% full-time) contract position. Contract positions may be extended based on operational demand. Contract positions are eligible to participate in the health and welfare programs offered by UC Berkeley.
