Administrative Support II - GEAR UP



Position Category: Staff - Full-Time

Summary:
Utah Valley University is seeking an Administrative Support II for GEAR UP. Under general supervision of the GEAR UP Assistant Director, the Administrative Support II position performs moderately complex and confidential secretarial work, such as maintaining records, entering student data, composing routine correspondence, and obtaining and providing factual information requiring knowledge of policies and procedures of both assigned and work-related areas.

Required Qualifications:
Graduation from an accredited institution with an associates degree and one year of experience OR any combination of education and experiences related to the summary of duties totaling three years.

Knowledge, Skills and Abilities:

    • Knowledge of office methods, techniques, practices, and procedures.
    • Skills in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, and texting platforms.
    • Ability to perform a variety of administrative support duties with minimal supervision.
    • Ability to follow verbal and written procedures and instructions.
    • Ability to communicate effectively, orally and in writing.
    • Ability to meet and work with people of diverse backgrounds.
    • Ability to coordinate and assist in the preparation and monitoring of departmental office procedures.
    • Ability to drive state car when needed, valid drivers license.
    • Flexibility to perform other duties as assigned.



Roles and Responsibilities:
35% Performs advanced and confidential administrative support duties, which includes entering data using automated system and routine correspondence. Assists Assistant Director and Data Coordinator with internal database and texting platforms. 15% Maintains departmental files and records. Performs data collection and file audits. 10% Ordering and maintaining inventory of office supplies. Coordinates department mailings.
10% Receives and directs incoming calls and visitors. Responds to general inquiries regarding office operations. 10% Provides college services information to students, faculty, and public. Assists in organizing campus tours, and other counselor requests. 10% May pick up and deliver materials as required or attend state trainings using state car. 10% Performs other job-related duties as assigned.

General office environment with use of computer and frequent walking.

Pay Range: $27,952 - $34,843
