Reporting directly to the Chancellor, this position provides executive level support to the Chancellor and as needed to the Vice Chancellor. Direct responsibility to carry out administrative, management and technical duties which support the management of university wide activities. This position has substantial responsibility which includes prioritization of the demands on the Chancellor’s schedule and the ability to exercise independent judgement, initiative and discretion.
Essential Job Functions:
Responsible for the interaction of University leadership by coordination of executive level meetings. – 35%
Maintains and fosters a supportive and working relationship with staff, faculty, students, media, community members and government officials
Maintain strict confidentiality and discretion with respect to all activities, operations, meetings related to executive leadership
Assemble, prepare, and distribute meeting agendas, minutes, and supplemental materials including official records of minutes.
Serve as the point of contact who will respond to and handle incoming and outgoing communications for the Chancellor. This includes discretion and independent judgment related to all activities, matters and events. – 15%
Prepare draft documents for the review, approval and dissemination of the Chancellor/Vice Chancellor
Track Chancellor/Vice Chancellor schedule for attendance at events, including speaking requirements/role for the event.
Manages and supervises surveys/special projects. – 20%
Gain assistance from external departments as needed.
Analyzes data to provide information to the Chancellor/Vice Chancellor.
Make recommendations to leadership based on findings.
Arrange corporate travel and meetings by development of itineraries and agendas; scheduling flights, booking other transportation, arranging lodging and other accommodations. – 10%
Arrange agendas (meeting rooms/scheduling) and logistics for visiting staff/dignitaries.
Supervise subordinate staff to include the calendaring administrative assistant and the events coordinator. – 10%
Giving work assignments as needed.
Coordinate the annual submission of Tenure and/or Promotion applications and prepared the review templates for the Chancellor. – 5%
Reconcile the audit purchase card statements, expense report, budget
planning – 5%

Associate’s Degree and at least three (3) years of progressively responsible work experience
Ability to effectively represent the Chancellor

Ability to gather, organize and analyze data for reports and other documents
Ability to research and resolve problems

Skill in use of Microsoft office programs and products such as Word, Excel, Powerpoint and use of the Internet
Ability to prioritize work and perform complex duties involving the daily use of independent judgment relating to important ERAU matters
Knowledgeable in office management techniques including English usage, spelling, grammar, composition, proofreading, punctuation, accuracy, and business letters/reports
Ability to establish and maintain effective working relationships with staff, faculty, students, media, community members and government officials
Valid driver’s license
Bachelor’s degree in Business or closely related area and between 1-3 years of professional work experience working for executive leadership.
