Position Summary:

The Executive Assistant acts as the Center Executive Officer's (CEO) chief of staff and a trusted advisor, and will serve as part of his/her senior administrative team. The position oversees the coordination and facilitation of various responsibilities and projects as requested or directed by the CEO, manages a large volume of activities with skill and diplomacy and takes action on the CEO's behalf to implement initiatives and ideas with collegial sensitivity and understanding of governance principles. The position coordinates and monitors special initiatives as determined by the CEO to ensure timely and successful completion by all staff. The position oversees administrative support activities of the Idaho Falls Center in coordination with administrative assistants charged with supporting program directors, faculty and staff through office management, including travel, calendars, office publications, event coordination and special projects. The position is responsible for cultivating and maintaining strong professional relationships with key personnel in all areas of the University, including those reporting directly to the President, Vice and Associate Vice Presidents, Provost, and Deans and will represent the CEO to the university community through participation in committees involving university-wide issues. A strong network of contacts must also be maintained at the university, peer institutions, the State Board of Education, industry and community organizations to advance University of Idaho goals and objectives. This position supports the operation and business processes of the Idaho Falls Center in one or more areas including: communications, marketing, human resources or finance.

Minimum Qualifications:


Education:
Earned Bachelors degree or five (5) years of executive/administrative support experience for higher level executives or senior level administrators.

Professional Experience:
Knowledge of best office management practices
Experience in procedurally driven organization structures
Experience with contemporary office software

Skills:
Excellent written and verbal communication skills
Excellent diplomatic and interpersonal relationship skills for dealing with the public, collaborating institution, peers, students, faculty, staff and senior university leadership

Demonstrated ability to:
Self-direct, develop schedules, establish work priorities, and complete complex tasks with minimum guidance and direction
Work successfully under pressure with sensitive and confidential information effectively using sound judgment, diplomacy and independence

Preferred Qualifications:


Progressive administrative and office management responsibilities in higher education setting
Two years supervisory experience
Work experience or educational training in one or more areas of operations and business processes including: communications, marketing, compliance, or human resources
Knowledge of University of Idahos administrative programs and university rules and administrative procedures
Additional training or education beyond a bachelors degree.
