Position Summary

The University at Buffalo Libraries seek a highly collaborative and detail-oriented Resource Sharing and Collections Maintenance Assistant (Instructional Support Associate) to facilitate access to the Libraries’ materials. Using a variety of tools, they will process user requests, resolve lending, borrowing, or document delivery issues and assist library users and staff. The Resource Sharing and Collections Maintenance Assistant will make materials available to users via their chosen delivery method, including processing requests for delivery to home addresses, self-serve lockers, library hold shelves, or office delivery while managing the tangible collections of more than 150,000 items located in the University at Buffalo’s Abbott Library.

Resource Sharing and Collections Maintenance Assistant, your primary duties will include:
    • Assisting with the Resource Sharing operations by ensuring physical and electronic materials received or requested from other institutions are processed accurately and in accordance with procedures.
    • Fulfills requests for materials in the Abbott Library collections and manages the circulation of items held in the Abbott Library or borrowed from other institutions.
    • Using multiple systems such as OCLC, Docline, IDS, and RapidILL to receive, process, and return physical materials borrowed from or lent to other institutions.
    • Verifying citations and locating requested material using online and print resources such as OCLC (Online Computer Library Center), Docline, citation databases, and individual library catalogs.
    • Ensuring that Course Reserve materials are made available to the University at Buffalo community within established service standards.
    • Reformatting print journal articles to electronic format for delivery.
    • Managing the day-to-day operations of the physical collections in Abbott library.
    • Monitoring and resolving library materials with process statuses such as LOST, Missing, Patron Claims Returned and any other relevant status.
    • Enforcing copyright compliance and answering queries from instructors and students regarding Course Reserves policies, copyright, and fair use.
    • Hiring, training, scheduling, and supervising a crew of student assistants who perform various duties.
    • Recording and reporting operational statistics relating to the Abbott Library collections and services.
    • Ensuring access to the Abbott Library in accordance with the posted schedule of library hours.

Minimum Qualifications

  • An associate degree with two years of relevant library experience or a bachelor’s degree from an accredited college or university. Relevant military training may be considered in lieu of a bachelor’s degree on a year for year basis.
  • Demonstrated technological proficiency, including the ability to learn and adapt to new software, systems and technology.
  • Demonstrated ability to be successful working in an environment that requires a strong attention to detail, a high degree of accuracy and exceptional organizational skills.
  • Proven analytical skills and the ability to solve problems by finding solutions that are guided by existing guidelines, policies, and procedures.
  • Proven ability to work independently and manage priorities without day-to-day supervision.
  • Demonstrated commitment to diversity, equity, and inclusion with the ability to support and enhance a diverse learning and working environment.

Preferred Qualifications

  • Experience working in Resource Sharing, specifically working in ILLiad or other resource sharing platforms.
  • Advanced experience with bibliographic concepts and library organization.
