Departmental Overview

The Graduate School of Journalism at U.C. Berkeley is widely regarded as one of the top journalism programs in the United States. The School offers a two-year Masters of Journalism degree to an enrollment of about 120 students at a time. All students spend their first semester in an intensive course that teaches accurate, responsible deadline reporting and writing.

During their remaining three semesters, students may specialize in print, video, documentary, photojournalism, audio or multimedia. The school's emphasis is on mastering a wide variety of techniques while learning the highest standards of responsible and enterprising journalism. There are 8 permanent faculty members in the School and many working journalists who serve as adjuncts and visiting lecturers. The School employs an average of 25 temporary and career staff members.

This position supports the Director of the Investigative Reporting Program (IRP) in the Graduate School of Journalism, UC Berkeley. The IRP is a professional newsroom and teaching institute. The IRP is led by Professor David Barstow, a four-time Pulitzer Prize winner. The IRP supports students in reporting stories that expose injustice and abuse of power while training the next generation of journalists in the highest standards of journalism. The incumbent supports the Director by providing a high level of administrative coordination and overseeing complex or special projects with a high level of sensitivity, requiring a high degree of independence, excellent critical thinking skills, and sound judgement.

For a senior manager (i.e. direct report to a direct report to the President, Chancellor or Health System CEO), ensures administrative processes and office operations run smoothly in the executive's office. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Responsibilities

  • Oversees and ensures the daily administrative operations run smoothly for the executive's office, including managing the executive's highly impacted calendar and shadowing the executive's email inbox to track action items.
  • Develops or participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.
  • Functions as the gatekeeper, understanding the requirements of the executive, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.
  • Maintains a comprehensive database of initiatives and assignments, to include actions delegated.
  • Responds to inquiries from faculty, staff, students and the public on behalf of the executive regarding organization operations, policies and procedures.
  • Drafts correspondence for the executive's approval.
  • Responds on behalf of the executive as needed.
  • Researches, compiles and summarizes issues, policies and topics; provides background information, talking points and briefing materials for the executive.
  • Briefs executives on deadlines and the status of pending issues.
  • Tracks action items and project deliverables.
  • Organizes ad hoc committees appointed by the executive on a broad range of issues.
  • Communicates with members of committee on behalf of the executive.
  • Investigates issues and problems; drafts and prepare responses to urgent requests.
  • Prepares responses to urgent divisional requests on behalf of the executive.
  • Prepares confidential reports for senior staff, systemwide and other officials.
  • Makes high level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy.
  • Maintains a high level of confidentiality.
  • Handles the details of a variety of matters on behalf of the executive.
  • Implements related business processes.


Required Qualifications

  • At least five years' experience as an executive assistant to a high-level, C-suite executive.
  • Familiarity with and/or can quickly learn UC Berkeley's processes, protocols and procedures.
  • Thorough knowledge of common organization-specific and other computer application programs.
  • Experience with Google suite products, especially the calendar.
  • Solid analytical/problem-solving skills.
  • Ability to work independently, track your own as well as the executive's tasks, and meet deadlines.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong service orientation.
  • Ability to pivot quickly as priorities change.
  • Ability to anticipate the executive's needs.
  • Strong skills to communicate effectively and tactfully with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing.
  • Advising and counseling skills.
  • Ability to multi-task with demanding timeframes.
  • Ability to use high-level discretion.
  • Solid skills in problem identification.
  • Project management skills.
  • Bachelor's degree in related area and/or equivalent experience/training.


Preferred Qualifications

  • Knowledge of federal regulations such as FERPA.


Salary & Benefits

This is a temporary position at 25% (10 hrs a week) with the possibility of extension. This is non-exempt and hourly position.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $29.50 - $40.52.
