Administer and coordinate the functions of the office of the School of Art and Design.
Management of the School of Art and Design budget.
Provides oversight to ensure adequate and smooth support by the operating staff for academic and administrative functions throughout the School of Art and Design.
Provide secretarial and administrative support to the Director of the School of Art and Design * Implement administrative policies.
Represent the Director to external bodies.
Facilitate efficient and productive functioning in the hiring of Graduate Assistants,
Temporary Visiting Professors, Instructors, students, and extra help
Consults on a regular basis with the administrative assistant to the Dean in the College of Visual and Performing Arts
Assists the Director in supervising staff for processing national searches for regular faculty
Duties and Responsibilities (generally)
Organizes and manages the workload and scheduling for the Director of the School of Art and Design
Prioritizes office workflow including delegation and review of any work assigned to other secretaries.
Coordinates the functions of this office with other divisions and assists division faculty heads in supervising all secretarial and clerical appointments in the office.
Consults with other area supervisors in hiring, supervising, training, assisting, and coordinating service for the civil service employees within the School of Art and Design.
Ensures the overall provision of administrative support for and cooperation with four division faculty heads, the Undergraduate Advisor, Foundations Coordinator, Graduate Coordinator, and more than 35 regular faculty in addition to various other employees, including supportive professional staff, temporary instructors, etc.
Deals with recruitment, community relations, and policies and procedures when necessary with the Provost’s Office, Accounting Office, procurement Office, Foundation Office, Alumni Relations Office, Human Resources, and the Graduate School.
Minimum Required Qualifications for this position
High school graduation or equivalent.
Any one or combination totaling one (1) unit of the following:
Four (4) years (48 months) of work experience comparable to the third level of this series = 1.0 unit.
Two (2) years (24 months) of work experience comparable to the fourth level of this series = 1.0 unit.
