Position Summary

The College of Arts and SciencesStudent Advisement and Services office is seeking a Staff Assistant. In this role, you will provide high-level administrative support to the Director, Academic Advisors, Success Coaches, and experiential learning and scholarships area. This position will also coordinate the personnel and business aspects of CAS Advising and Services.

You will be expected to work with a great deal of initiative and autonomy in the following responsibilities:
    • Provide leadership for day-to-day administrative office duties and communication with CAS undergraduate students
    • Collaborate and administer processes related to scholarships as well as programing for students, such as CAS UB Thrive, Group Advising, Social Impact Fellows, Celebration of Student Academic Excellence, etc.
    • Assist all undergraduate students with general advising questions this will require in-depth understanding of UB polices and research in HUB or Navigate to help address student situation.
    • Supervise Peer Advisors, and student Interns including assisting with hiring and training, building schedules, managing ongoing training and assigning work.
    • Conduct all purchasing, including travel booking for the office and performing routine monthly reconciliation and analysis for internal and external purposes

Minimum Qualifications

  • Associates degree required.
  • 2 years office administration experience.
  • Strong computer skills, including Microsoft products and Zoom.
  • Incumbent must be able to maintain the highest level of confidentiality and respond with tact and diplomacy.
  • Must be able to manage competing priorities, display flexibility and initiative, and work with a diverse constituency in a face-paced environment.

Preferred Qualifications

  • Bachelor’s degree
  • Prior experience at a large research university center
  • Familiarity with UB policies, procedures and systems.
