Essential Job Duties and Responsibilities
Prepare and monitor the processing of expenditure documents (requisitions, check requests, and/or IVs) for purchase orders and other contracts as needed.
Must have strong interpersonal, clerical skills and problem-solving skills in a team setting
Draft correspondence, reports, documents, and/or written materials.
Maintain accurate filing systems and records to ensure information is readily accessible.
Prepare and organize materials in advance of meetings and appointments.
Examine incoming correspondence, assessing action required, determining deadlines and follow-up actions on expenditure documents, faculty and staff requisitions, PAFs, etc.
Place and screen phone calls, and book travel and lodging reservations as needed.
Process documents and materials for procurement, reporting and disseminating information/materials.
Edit written materials for accuracy and completeness and conformance to established standards and procedures.
Demonstrate proficiency in computer skills, including Microsoft Office products such as Word, Excel, PowerPoint, Teams, etc.
Demonstrate proficiency with web-conferencing software (Zoom, WebEx, Teams, etc.).
Make appointments, coordinate meetings, prepare agenda and take minutes for meetings, and organize documents for the Dean’s Office’s daily activities, including meetings, conferences, and other agenda items.
Coordinate and implement general office functions, including composing, typing, and disseminating correspondences and other materials as requested by the Director
Review, sort, and route unit mail
Must be detailed orientated.
Must be a team player
Demonstrate proficiency in collaboration and delegation of duties
Uphold a strict level of confidentiality
Communicate with other staff, faculty, administrators, and the general public.
Other duties as assigned by the 1890 Research Director, Associate Dean for Academic Programs and Student Success, and Director of Land-Grant Operations and Management.
Associate’s or Bachelor degree in Business Administration or other related discipline preferred
Preferred candidate will have a minimum of two years of experience in an administrative or financial position
Good written, verbal communication, analytical skills
Good planning and organizational skills
Experience in computer systems and in using database management, spreadsheets and word processing tools
Knowledge of online systems and fiscal year rules and regulations
Ability to work effectively with persons from diverse ethnic backgrounds
Ability to work independently as well as collaboratively with others as a team member
Commensurate with education, training, and experience

This position does require weekend and after work hours during peak season
This position will not require traveling
