Responsibilities
  • Administers a defined operational program or activities which includes the following functions: finance, student services, human resources, and communications.
  • Serves as a work leader for a small team of clerical and administrative staff to ensure the smooth operational program for all activities which includes coordinating program events for students and alumni such as fundraisers, applicant interviews, recruitment sessions, Mock Interviews, and end of cohort celebration.
  • Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities to the Program Director;
  • Calculates payments for part time and contracted employees; processes scholarship awards and payment schedule, escalated customer service problems and vendor concerns, in concert with the Business Services Office.
  • Writes and/or participates in developing job descriptions for unit's personnel.
  • Serve as a resource contact for academic personnel issues.
  • Works with Program Director in the identification and hiring of new staff, lecturers, and FPS, providing guidance on personnel policies and procedures.
  • Confers with academic personnel analyst on merits and promotion materials for FPS and submits required documents.
  • Structures payments across several fund sources for FPS.
  • Communicates with part time hires on pay calculations.
  • Coordinates the publication of the Annual Update newsletter as well as other official correspondence or professional communications via email, website, and mail, papers, and other publishable work products,
  • Participates in the development and revision of standard operating procedures.


Required Qualifications
  • Working knowledge of common campus-specific and other computer application programs and/or comparable knowledge.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing.
  • Working knowledge of CTC administrative services credential requirements
  • Working knowledge of Chalk and Wire e-portfolio system
  • Working knowledge of university MA degree programs and degree program requirements
  • Experience working in non-profit, and university settings
  • Working knowledge of K-12 public school systems
  • Experience with producing publications in both print and web based environments
  • Experience with event planning at the small and large scale
  • Experience with budget monitoring and tracking
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.


Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.


Salary & Benefits

This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience.
