Overview

The Tufts University Advancement Division marshals the human and financial resources necessary for the University to achieve excellence in teaching, research and scholarships. It serves the academic agenda of the University by facilitating mutually rewarding engagement and support of alumni, parents and friends. The Advancement Gift and Information Services (AGIS) Office is responsible for the overall Biographical and Gift entry of over 800,000 entities. The office is responsible for complying with and helping define University Gift Policy and Procedures and processes over 60,000 complex and simple gifts and pledges per year. AGIS is also responsible for maintaining updated biographical information including address, relationships, educational information, email etc. on donors, alumni and friends. The department uses on-line technology for processing credit cards, on-line research for biographical information, document imaging, lockboxes and our Donor and Prospect Information Management System


What You'll Do

The Gift Processing Coordinator is responsible for gift/pledge recording and receipting of all charitable contributions to Tufts University. Contributions are accepted in various forms of tender such as; cash, checks, securities, gifts-in-kind, credit cards, bank drafts, matching gifts, IRA/QCD, donor advised fund, payroll deductions and other property. Charitable contributions are made to the University from alumni, friends, corporations and foundations. This position is responsible for recording many various types of charitable contributions in the database, from many giving platforms such as online giving, crowdfunding, lockbox, and Treasury. The position will develop an understanding of complex and unique gift processing requirements for Matching Gifts, gifts from Corporate & Foundations, Planned Giving Dept., and Donor Advised or Directed gifts. Position is responsible for supporting giving initiatives related to the Tufts Community Appeal, Office of Gift Planning and Giving Tuesday. The position is required to maintain a daily detailed financial summary of the transactions recorded and use gift integrity reports to ensure business rules are followed related to gift coding and tributes.
This position communicates with internal and external constituents to clarify donor intent and ensure the proper information required by auditors for substantiation of recorded transactions. Follow established procedures for processing and validating transactions and assist in updating policies and procedures, as necessary.
Utilize Salesforce CASES to track and manage all requests from UA staff for changes or corrections to donor records or transactions.
This position serves the entire University community, including administration, faculty and staff and donors.


What We're Looking For

Minimum Required Experience, Education, Background, and Certifications/Licenses (Consider the education, experience, licenses, and technical or specialized skills required to perform this job.)
1. Years of related experience required: 1-3 years working in an office environment
2. Required education: High School Diploma/GED
3. Special licenses required:
4. Required computer/technical skills: Strong PC skills with proficiency in Microsoft Word and Excel
5. Other (Describe – i.e., lifting, domestic/foreign travel, foreign language): Exceptional attention to detail. Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines. The ability to work independently and as part of a team and be able to work effectively in a variety of situations.

 

Additional Preferred Experience, Education, etc. (Consider preferred qualifications including additional education, experience, or other job related skills.)
Complex database experience is strongly preferred.
