The Financial Coordinator at the Friedman School of Nutrition Science and Policy reports to the Assistant Director of Business Operations and provides broad transactional support for the School’s financial operations activities including coordinating payroll information, initiating and tracking numerous transactions, monitoring the activity of financial accounts, and addressing multiple reporting needs. The role supports the transactional needs for certain post-award administration of Sponsored Research projects as requested by the Sponsored Research Administrators including purchasing-related follow up and coordination with central offices. The Finance Coordinator also manages a list of available fellowships and related resources for Friedman School students.
Financial operations responsibilities (80%) include:
Coordinate weekly payroll submission and time off tracking, including reminders and time entry
Process student worker, temporary employee, adjunct faculty, and teaching assistant appointments; coordinate related onboarding needs, troubleshoot as needed, provide updates.
Coordinate with TSS on payroll- and appointment-related troubleshooting and resolution. Provide stakeholders with relevant updates on status.
Run frequent reports on fund balances, transactional activity, upcoming appointment end dates, time off balances, and other needs. Assist with addressing related questions and issues as needed.
Process expense transfers, invoices, requisitions, reimbursements, honoraria, consultant contracts, vendor setups, purchase orders, check vouchers, and other transactions.
Gain understanding of key policies and procedures related to financial transactions to be able to field questions from the Friedman School community and to uphold compliance. Provide hands-on training and onboarding as necessary.
Serve as a resource and assist the Friedman Research Administration Office in post-award transactions as needed.
Participate in fiscal year end close process.
Fellowship responsibilities (15%) include:
Perform basic online research to compile and maintain a database of student fellowship opportunities, and disseminate opportunities to the doctoral students elist
Maintain and update the Friedman School website content related to student fellowship opportunities
Training grant responsibilities (5%) include:
Produce data tables for training grant proposals, renewals, annual reports and biannual steering committee meetings; coordinate data acquisition, data problem identification and resolution
Serve as the first point of contact for trainee-initiated financial transactions
Maintain records, track trainee status, prepare offer letters
Collect and enter trainee publications into NIH systems; address issues
Maintain and update the Friedman School website content related to training grants
Organize program activities of the training grants (biannual steering committee meetings and other meetings).
