Position Summary
The Department of Environment and Sustainability in the College of Arts and Sciences at the University at Buffalo is seeking an Assistant to the Chair. You would provide direct assistance to the Department Chairperson in all administrative functions of the department in accordance with State, University, Research Foundation (RF), UB Foundation and College of Arts and Sciences (CAS) guidelines, policies, and procedures.
Listed below are the broad areas of responsibility within the purview of the Assistant to the Chair, including but not limited to:

  • You will assist the Chair in development of annual departmental budgets including departmental guidelines and procedures. You will also monitor expenditures and provide account reconciliation.
  • You will prepare and verify all personnel transactions for department in a timely manner (ensuring employees are paid on time or removed from payroll in a timely manner) and that budgets are appropriately impacted.
  • You will work with colleagues to complete the annual department space survey and monitor space usage and availability. Coordinate with the Chair to assign space in accordance with Department, CAS, and University guidelines.
  • You will coordinate special events including travel arrangements for guests and visiting scholars.
  • You will supervise the Department Secretary including completing an annual performance program and evaluation, monitor and manage workflow in department to ensure that faculty and students are being appropriately supported and that deadlines are met.
  • You will schedule courses for the department in University system ensuring there is appropriate instructional personnel (faculty, adjuncts, TAs) and the instructional budget has not been exceeded.
  • You will oversee the maintenance of department records and files adhering to CAS and University guidelines.

Minimum Qualifications

  • Bachelor’s degree required.
  • Two years of administrative experience.
  • Excellent oral, written and interpersonal skills required.
  • Must be able to interact with a diverse constituency.
  • Computer experience in MS Office (Word, Excel, Access, Outlook).
  • Must be able to manage competing priorities and demonstrate a commitment to learning new skills as needed.

Preferred Qualifications

  • Master’s degree preferred.
  • Two years of supervisory experience preferred.
  • Knowledgeable and skilled with a variety of University systems including, but not limited to: ePTF, SIRI, HUB, InfoSource, UB Jobs, eReq, UB First, CONCUR is preferred
