The Berkeley Center for Law & Technology (BCLT) and the Berkeley Judicial Institute (BJI) at the University of California, Berkeley are currently seeking a highly organized self-starter to fill the role of Coordinator for Event Planning and Communication. This is an exciting opportunity to join a dynamic group. BCLT works with faculty, students, law firms, and leading tech companies to address cutting-edge legal and policy issues posed by rapidly changing technologies. Working with judges, faculty, and students, BJI aims to promote judicial integrity and independence. It offers judicial education, engages in research on the judiciary, and hosts a range of events related to judging.

Both entities are centers within the UC Berkeley Law School. BCLT is widely recognized as providing the nation's #1 program in law and technology. A new Institute directed by former Judge Jeremy Fogel, BJI's mission is to build bridges between judges and academics and create an ethical, resilient, and independent judiciary. Berkeley Law is known for its vibrant and engaged community of students and scholars who are committed to making a difference on problems of local, national and global import.
The Event Planning and Communications Coordinator assists with the planning, organization and execution of conferences, workshops and other activities, including researching and helping with logistics such as facilities, registration, caterers and vendors, reimbursement, facilitation of travel, and interaction with faculty, speakers, and other Law School staff. This position also helps facilitate communication with the BCLT and BJI communities of students, faculty, alumni, sponsors, scholars, judges and other interested parties in support of these activities. This is a shared position that supports both the Berkeley Center for Law & Technology (BCLT) and the Berkeley Judicial Institute (BJI).

Responsibilities
  • Under close supervision, assists as assigned in planning, organizing, and ensuring the smooth implementation and effectiveness of small and large internal and external events such as symposiums, conferences, workshops, and banquets.
  • Assists with all aspects of pre- and post-event planning, identifying and helping to secure event locations, accommodations, parking/transportation, catering and other vendors.
  • Helps coordinate communications, monitor speaker and guest registration, and meet speaker needs, utilizing Salesforce and related database management tools.
  • Staffs all events, and assists with all aspects of pre- and post-event support.
  • Provides support for research projects. Under close supervision, assists in coordinating and transcribing recorded interviews, compiling and organizing other pertinent research, and preparing materials for reports to research sponsors.
  • Assists in processing event budgets, expenses and reimbursements, identifying and resolving errors through timely reconciliation of post-event costs.


Required Qualifications
  • Knowledge of concepts and principles of effective event planning and production.
  • Basic knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure.
  • Good organizational and time management skills to effectively coordinate and track multiple details, including ability to move between diverse projects with ease.
  • Written and interpersonal communications skills, including tact and political acumen, ability to use discretion and sound judgment in managing sensitive information and responding to issues and concerns, and skill in effectively representing the campus to its publics.


Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.


Preferred Qualifications
  • Working knowledge of UC Berkeley accounts processing systems and infrastructure preferred.
  • One year or more of event planning experience preferred.


Salary & Benefits

This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $24.90 - $26.00.

Other Information

This is a 12-month, full-time, 40-hours per week, temporary (contract) position. This position is eligible for full UC benefits, including, but not limited to vacation & sick leave accrual.
