Position Summary:

Reporting to the Senior Executive Assistant in the Office of the Provost and Executive Vice President, the Administrative Assistant is an experienced administrative assistant/project manager supporting the faculty senate leadership and functions of faculty senate. Responsibility areas include but are not limited to providing high level administrative support by tracking projects and activities, meeting deadlines in support of major initiatives, establishing schedules and arranging logistics for meetings and committee work, taking summary notes, and acting as a liaison between groups and individuals. This position also provides administrative support for policy coordination and is a member of the collaborative shared services staff team in the Office of the Provost and Executive Vice President. The successful incumbent must be proactive, detail-oriented, accurate in entering data, able to analyze and resolve complex situations and tasks, and have intuition for planning and completing projects. Work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion. The office has a high volume of work flow and is intensely fast-paced.

Minimum Qualifications:

At least four years experience working in an office, using Microsoft Outlook email and calendaring software.
Intermediate working knowledge of office equipment and computer skills using Microsoft Outlook, Word, Excel, PowerPoint, Adobe, Stellant, Banner and/or other similar programs and computerized record systems.
Evidence of writing and editing skills to produce professional business correspondence, documents, presentations, reports, etc.
Professional or personal knowledge and/or experience using on-line web-based platforms for business operations such as room reservations, technology scheduling, catering, hotels, airlines, rental cars, etc.

Preferred Qualifications:

Professional or formal education for office, clerical, administrative assistants or a related field and/or experience working in an office for at least 3 years.
Experience or demonstrated ability to function in an office environment administratively supporting more than one individual.
Evidence of organizational skill and ability to prioritize and track progress independently while working on one or more tasks/projects simultaneously.
Experience using software such as Adobe, Stellant, Banner and/or other similar programs and computerized record systems.
