Overview
The Administrative Coordinator, Hirsh Health Sciences Library position provides administrative support to the library staff and assists in coordinating library facilities and administrative services.
What You'll Do
- Provide general guidance and explanation of departmental policies and procedures and serve as a source of problem-solving staff and other constituents
- Submit weekly payroll via the Peoplesoft System; enter and maintain time-off tracking records
- Compile and submit electronic journals for interdepartmental charges in the Peoplesoft Financials system, initiate purchases, maintain records of receipts and invoices
- Review, adjust, and approve procurement card charges in the Peoplesoft system
- Assist in establishing, communicating, and implementing administrative policies and procedures
- Maintain and purchase office supplies
- Process HR documents
- Coordinate conference travel and/or meeting registration for library staff members
- Perform routine maintenance of assigned portions of the library’s webpage
- Participate on the Public Relations Committee, including generating assigned content for the library’s blog, infoscreen, and social media accounts
- Assist in planning library events
- Staff the Library Service desk regularly for 4-6 hours, and provide other coverage as needed
- Work with Circulation and Collections to assess equipment needs and facilitate purchasing of electronics
- Assist the Library Administrator, Associate Director, and Director as needed
- Take minutes at Management Team and Student Library Advisory Committee meetings
- Participate in special projects as needed
What We're Looking For
Basic Requirements:
- Years of related experience required: 1-3 years
- Required education: B.A. or B.S.
- Required computer/technical skills: Familiarity in MS Office Suite, in particular Word, Excel, and Outlook
- Very strong verbal and written communication skills and a demonstrated high level of good judgment, analytical and problem-solving skills
- Must be helpful, approachable and flexible
- Ability to work collaboratively in a team and independently
- Exhibit enthusiasm and initiative, and the ability to prioritize diverse responsibilities and meet deadlines
- Good organizational skills, and detail oriented
Preferred Qualifications:
- Experience with editing, familiarity with Adobe Photoshop
- Proficiency in MS Office, Excel, and PeopleSoft (HR and Financial)
- Proficiency with Social Media platforms, especially Instagram and Twitter
- Interest in libraries a plus
Pay Range
Minimum $25.80, Midpoint $30.95, Maximum $36.10
Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
