JOB DESCRIPTION SUMMARY
This is a full-time, benefited position that will provide administrative support for the execution of a wide variety of administrative tasks. Serve as the front-line contact for students, faculty, and visitors in the Department, providing prompt, friendly, and professional answers to questions and inquiries, and appropriately routing more complex questions. Purchase materials and supplies for faculty labs and students and maintain accounting thereof.

JOB DESCRIPTION

Responsibilities:

  • Purchases materials and supplies for faculty labs and students.
  • Support the Robotics Engineering Department Operations Manager with the graduate program by helping to maintain records/files.
  • Assist with coordination and facilitation of RBE Open Houses, help organize the Undergraduate Research Projects Showcase, and support RBE Senior Exit Surveys, and socials.
  • Take minutes at meetings. Provide support for all board and faculty meetings. Gather materials, input, schedules, and other items as needed to support program publications and operations.
  • Perform routine clerical duties: room scheduling and coordination of routine meetings, handle numerous routine contacts, answer questions and gather information requiring discretion/sensitivity, answer RBE departmental telephone number, sort/distribute mail and handle incoming and outgoing mail deliveries and packages, sign and notify recipients.
  • Proactively update the RBE website and prepare departmental digital and print publications and mailings; distribute newsletters; maintain faculty pamphlets; work with departments throughout campus such as the registrar, admissions, other engineering departments, marketing, institutional information, and alumni affairs.
  • Assists Operations Manager with managing and organizing conferences, seminars, and events for Robotics Engineering.
  • Performs other duties as assigned.



Requirements:

  • High school graduate with a minimum of three years of office or secretarial experience. Associate or Bachelor's degree in business management, accounting, or personnel management desirable.
  • Strong computer skills, including proficiency with Microsoft Office (Excel, Word, PowerPoint, and Access), World-Wide Web content management systems, and other office productivity tools.
  • Excellent written and verbal communication skills.
  • Ability to handle a wide variety of tasks simultaneously
  • Excellent organizational and problem-solving skills.
  • Strong self-motivation and willingness to take on multiple responsibilities.
