Job Summary:

Simmons University is looking for an Assistant Registrar who will support the daily operations of the Registrar's Office, with a primary focus on processing and coding majors, minors, and academic program changes, along with monitoring the grades process, and overseeing the production of the University Course Catalog. The Assistant Registrar will serve as the compiler and editor of the University's undergraduate and graduate catalogs. The position is responsible for scheduling all ad hoc classroom requests, and for preparing the fall and spring final exam schedules. The person in this position shares in the customer service demands of a face-paced, collaborative, student-centered office, serving students, faculty, and staff over the phone, via email, and in-person.

  • Process all declarations of major and minor forms submitted by undergraduate students.Update graduate academic programs and location changes as requested by graduate programs.
  • Serve as the editor of the University Catalog.Collaborate with department chairs and program directors to review and edit the undergraduate and graduate catalogs published annually.Coordinate edits across administrative areas of the University.
  • Oversee the grading process for all departments and programs of the University.Ensure that all grades are submitted accurately and on time.Process all change of grade forms and track incompletes for all students, graduate and undergraduate.
  • Schedule in Resource25 all ad hoc classroom reservations submitted to, including requests submitted for student groups, faculty meetings, study groups, course-related events, etc.
  • Create the final exam schedule for each fall and spring semester.Solicit undergraduate faculty to determine the complete list of final exams to be given.Schedule exams within the final exam grid, resolving conflicts and exceptions as they arise.Reserve an appropriate classroom space in Resource25 for each exam scheduled.
  • Provide customer service to students, faculty, staff and administrators, in person, over email, and on the phone, with questions about registration/records, courses, curriculum requirements, enrollments, transfer credit, transcripts, graduation, grading and cross-registration. Support the mission of the Office to uphold the dignity of each one of our customers by being ethical, respectful, fair, and courteous in our communications and actions in the support of teaching and learning at Simmons.
  • Support Workday implementation.

Minimum Qualifications:
  • Bachelor's degree, or equivalent experience, required
  • 2-3 years of related work experience in a college or university Registrar's Office strongly preferred

Additional Qualifications:
  • Excellent professional written and verbal communication and interpersonal skills
  • Must have strong computer skills including proficiency in Microsoft Office and an aptitude to learn new technology
  • Attentiveness to detail and ability to work independently
  • Flexibility and willingness to assume new tasks and special projects
  • Strong organizational skills, and the ability to prioritize multiple requests and handle them in an efficient and timely manner
