Exchange Program Coordinator – (190539)

Embry-Riddle Aeronautical University is now hiring an Exchange Program Coordinator for the International Programs department. The Exchange Program Coordinator is a global engagement and exchange student advisor and the Terra Dotta Software Coordinator. In the advisor role, the staff member is the primary point of contact for the students before, during and after the exchange experience. This position is also the "administrator" and a user of the Terra Dotta Study Abroad system. Terra Dotta is the online application system used to manage study abroad and other global engagement applications. This position creates public web pages for each study abroad program in the system, creates and implements the various pieces of the online application, and troubleshoots any issues that arise. The Exchange Program Coordinator will also give access to and help train and educate any other ERAU staff or faculty who need to access the application system. In addition, this position analyzes data from Terra Dotta to report on progress for SIT 3 initiatives and other reports as requested by the Assistant Provost, Director of Global Engagement, and Director of Study Abroad.

Responsibilities include the following:

Exchange Student Advisor – Daytona Beach Campus
Advise incoming and outgoing exchange students through each phase of the exchange process including transfer of credit, course pre-approvals, registration, travel plans, and health and safety issues while abroad.
Serve as the first point of contact for incoming exchange students applying to attend ERAU for one or more semesters. This position will inform students of the application process and facilitate their application through the various channels (Admissions, ISSS, etc.) required for their successful admission to the university and receiving of their DS-2019/I-20. This position will also inform students of arrival and check-in procedures prior to the beginning of each semester.
Serve as secondary contact for reciprocal agreements/MOUs, reciprocal exchange partners.
Coordinate the marketing of the exchange student program and corresponding events. This includes marketing via social media, as well as print media and other forms of digital media, and distribution of that media to other department on campus and outside the university.

Terra Dotta Coordinator – All Campuses
Oversee the maintenance of Terra Dotta software. Manage the program portfolio, review and update process elements, co-launch application cycle, and maintain/develop query watches for process efficiency. Develop training opportunities for OGE and Study Abroad staff at all three campuses to ensure they stay updated on software functionalities.
Provide Terra Dotta reports for Directors, Assistant Provost and others as needed.
Manage all campuses’ Terra Dotta program brochures.
Manage program portfolio streamlining.
Ensure all program closures upon application deadline.
Process withdrawals in Terra Dotta.
Manage the Terra Dotta portion of the online Payment Gateway
Oversee successful completion of all incoming and outgoing exchange program participants.
Attend all Terra Dotta Study Abroad and Travel Registry Meetings
Serves as a backup administrator for the Travel Registry system.

International Programs risk and crisis management coordinator
Help the Assistant Provost and Directors in coordinating the International Programs risk and crisis management policies for all international university related travel.
Assist the Assistant Provost and Directors of Global Engagement or Study Abroad or other UA personnel, such as the Risk Management office, Strategic Communications, the Dean of Students, and legal counsel, with status in an emergency situation abroad.


Required Qualifications:
Bachelor’s degree.
Personal experience in exchange or study abroad.
Analytical skills with an in depth knowledge of information systems and technical expertise with Microsoft operating systems, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
Excellent communication skills and customer service skills.

Preferred Qualifications:
Terra Dotta Software experience highly preferred.
