Reporting to the Senior Executive Director of Philanthropy, the Assistant Manager manages and supplies an array of specialized support resources that help integrate and optimize the efforts of the Division.  The Assistant Manager is the primary provider of logistics for the Field Team, manages the operations of the planned giving program, independently resolves client issues via the client support program, manages an evolving array of projects and provides executive support to leaders of the Philanthropy and Alumni Engagement programs.
Drawing on existing professional advancement experience and a robust, broad-based knowledge of best practices in philanthropy and alumni engagement, the ideal candidate will have experience as a power-user of advancement enterprise systems; mastery of productivity techniques, technology and software. Proven experience managing complex projects is essential. Candidates must possess the requisite knowledge and skills to proactively and independently evaluate and synthesize advancement and other information; and identify, plan, allocate resources to, and complete an ongoing array of advancement initiatives.
The ideal candidate shall be a proactive, creative and tenacious problem-solver; unfailingly positive, engaging and gracious; nurturing of professional and client relationships and a careful listener with high emotional intelligence; professional, poised and polished; discrete with confidential material; an exceptional communicator and brand ambassador; and a service-oriented provider of expert support to the entire team.
Candidates must possess the ability to work with a sense of urgency, high attention to detail and commitment to producing excellent, finished work with minimal oversight. The Assistant Manager must perceive and recommend opportunities for synergy and possess the ability to leverage their advancement experience and professional insights to make sound, independent decisions with strategic and financial impact on the program and the University.
Because the Field Team whom they support is operating in many different time zones and cities, and, occasionally, in different countries overseas, the Assistant Manager role entails significant weekend and evening work throughout the year.
Manages Support for Deployment of Field Team
Coordinates the deployment of multiple fundraising officers (from 12 to 15) and manages logistical support to all. Coordinates with Division Administrator to set and modify travel arrangements, maximizing the fundraising officers’ range and effectiveness while reasonably minimizing costs. Manages the prompt entry of event data into the enterprise system to enable follow-up communications. Plays a key role in managing team members’ recording, tracking and completion of follow-up actions.  Generates documents, communications and other follow up resources. Serves as backup to the Division Administrator on providing travel planning and implementation and on managing operations   that impact the Field Team.
Executive Support
Under the direction of the Senior Executive Director of Development, provide administrative support for that leader and, as needed, the Executive Director of Alumni Engagement. Manage schedules, prepare financial documents, develop correspondence and produce reports. Enter contact reports. Research, assemble, synthesize and draft complex proposals, reports and other documents.
Manage Client Support
Staff the Division’s client support phone, mail and email service, fielding inquiries or cases referred by colleagues.  Independently resolve alumni and donor concerns with a high-touch, customer-service approach, collaborating with colleagues and coordinating their efforts to achieve desired results.
Divisional Project Support
Manage multiple, simultaneous interdepartmental projects as assigned, such as researching and assembling supporting information for proposals or reports.
Manage Operations of Planned Giving Program
Manage marketing of the program and assist in the implementation of stewardship plans for planned giving society members.
