The Office of Student Affairs (OSA) is responsible for all enrollment management, student services (including all academic support) for students, advisors and faculty coach support services. In addition, the OSA is responsible fostering a supportive, inclusive environment and for developing, maintaining and implementing student affairs policies as well as overseeing implementation of University-wide policies for students. Together with the Registrar’s Office, the OSA provides services to over 850 students, faculty members, the TUSM clinical affiliates, Maine Track and TUSM academic and administrative offices. The OSA oversees all academic support services for students (including tutoring, board preparation and general academic support), oversees Learning Communities, Student Council and Student Interest Groups/Clubs. The OSA collaborates on Student Wellness initiatives, coordinates and administers the clinical curriculum (3rd and 4th year), the recently implemented Coaching Program for all medical students, the SAGE program (specialty advising, guidance and exploration), the summer research program, manages the residency application process for medical students, assists in monitoring the learning environment (through the administration of the Appropriate Treatment in Medicine group), plans and executes many events including orientation programs for 1st, 2nd & 3rd year students, White Coat ceremony, Match Day and Commencement activities. In addition, the OSA provides oversight and production of the annual MSPE (medical student performance evaluation) for senior medical students. What You'll Do

Administrative Coordinator provides advanced administrative support and communications for the Office of Student Affairs (OSA).  S/he will handle complex and confidential situations and requests and serve in a highly visible OSA resource for students, staff, faculty and other constituents.  The Administrative Coordinator will often be the initial OSA resource to respond to questions, requests and issues. S/he will work collaboratively to address these inquiries appropriately, including; providing direct responses, referring the issue/individual to other staff, and escalating the issue to his/her supervisor.  The Administrative Coordinator will manage the appointment calendars of the OSA Deans and will specifically support both the Asst. Dean and the Associate Dean on special projects including review of treatment data and support for Constituent Programming.  S/he will plan and coordinate meetings and special events and may also coordinate programs and/or projects for the department. The Administrative Coordinator should have a passion for organization and learning, and will work with other OSA staff on other projects, activities and events including Orientation Week, White Coat Ceremony, Match Day ceremony, Commencement Ceremony, etc. They will provide essential back-up support to other OSA staff and assist with general OSA tasks with oversight, as appropriate. The Administrative Coordinator will report directly to the Associate Dean of Students.

What We're Looking For

Basic Requirements:

  • Knowledge and skills as typically acquired by a bachelor's degree and 3+ years of experience OR a high school diploma/GED and 5+ years of advanced administrative experience.
  • Advanced knowledge of Microsoft Office suite including word processing, editing and graphics functions, spreadsheet and database knowledge.
  • Bookkeeping or basic accounting knowledge and excellent organizational and interpersonal skills.
  • Ability to work well on a team.
  • Superior communication skills.

Preferred Qualifications:

  • Bachelor’s Degree. Experience in Higher Education administration. Experience in student support services.


Special Work Schedule Requirements:

There are specific events throughout the year that occur on the weekend, or early morning, late evening which the Administrative Coordinator will be required to participate in.
