Position Overview
Primary Purpose of Position
This position will assist with Registrar Office functions: processing transcripts, answering phones, course withdrawal, and change of address and/or name changes.
This position will also assist the Registrar with activities in support of University programs, goals, and regulatory compliance. Responsible for contributing to an environment that promotes an effective and responsive registration and records program that meets NCA&T goals and students’ needs.

Primary Function of Organizational Unit

The primary function of the Office of the Registrar is to provide support services to students, faculty, and staff in an efficient and timely manner. Responsibilities and activities in these support services include, but are not limited to, registration of students, certification of enrollment status, withdrawal of students from classes, processing official transcript requests, maintaining academic records, repeated courses, processing applications for graduation, maintenance of demographic data and scheduling of courses.

Work Hours 8am – 5pm

Key Responsibilities and Related Competencies

Required Competency Communication – Verbal/Written

Responsible for handling all queries to the main office: via the phone queue, the office email address, or in-person inquiries. Communicates office and university policy information to students, faculty, and parents, which requires extensive knowledge of university policy and structure and the ability to communicate effectively and professionally.

Key Responsibilities and Related Competencies

Required Competency Knowledge – Program

Assists with activities related to records and registration in support of institutional programs, goals, and regulatory compliance.
Assists in the administration of the Registrar’s Office.
Processes transcript request and sends out College transcripts.
Assists with student registration as needed.
Contributes to an environment that promotes an effective and responsive records and registration program that meets institutional goals and students’ needs.
Assists with student record updates.
Oversees and manages the reception area and front desk operations for the Office of the University Registrar.
Maintains accurate records of all transcripts and forms issued.
Sets up academic terms in Banner and processes graduation applicants.

Key Responsibilities and Related Competencies

Required Competency Information/Records Administration

Submits daily and weekly transmittals to Treasurer’s Office to reconcile fees received via mail and online. Maintains files and records for transcript requests that have been processed.
Maintains an archiving process of student records in accordance with state regulations.
