The Clinical Sciences faculty (~65) has teaching and clinical responsibilities to the veterinary students and hospital respectively, as well as individual research pursuits and administrative obligations. Approximately 75 residents and interns, matched through the national VIRMP program rotate through the department/hospital on three and one-year cycles, respectively. The administrative staff supports the faculty, residents and interns, the Chair and Department Manager. The department has a large budget and many discretionary and research accounts.

What You'll Do

The Administrative Coordinator primarily supports the department and the Chair of Clinical Sciences with advanced administrative tasks associated with faculty appointments, including managing the faculty promotion packages and process, and taking the lead on faculty orientation.


As an Administrative Coordinator, for Clinical Sciences you will:


  • Provide general support to the Department Chair including complex calendar management and management of large, reoccurring meetings.
  • Represent the department with outside parties to coordinate complex and high-level meetings with the Chair.
  •  Draft and obtaining Dean approval of faculty re-appointment letters; works with faculty affairs to maintain the records and appointment approvals for adjunct faculty; and collecting and preparing data associated with annual faculty reviews.
  • Be responsible for creating and maintaining confidential attendance and personnel records of faculty and house officers; maintaining elists; and web site content related to faculty appointments.
  • Responsible for duties and logistics associated with the faculty mentor program; and for communicating with faculty regarding department policies and procedures, including time off policies.
  • Coordinate office moves, mailboxes and photo composites as well.
  • Support some Chair and faculty academic activities including, but not limited to:
    • Accurate and timely revision and production of course syllabi;
    • Creating and posting assignments, schedules, and other course requirements using Canvas and OASIS software;
    • Working closely with all course instructors during the creation of student assessments (exams and quizzes) using ExamSoft and Canvas software, including developing and editing question banks;
    • Assisting faculty with entering grades and evaluations; and ensuring consistency where possible in the way courses are organized and information is presented.
  • Communicate with faculty regarding confidential information regarding student accommodations as well.
  • Strong organizational and interpersonal skills are necessary. 

What We're Looking For

Basic Requirements:

  • High School/GED degree or equivalent experience.
  • 5 years related experience.
  • Excellent computer skills, especially in Word and Excel.
  • Ability to communicate effectively and professionally in written and verbal expression.
  • Strong organizational skills.
  • Ability to lift up to 15 lbs. with or without accommodation.

Preferred Qualifications:

  • College education preferred.
  • Familiarity with Outlook and Adobe.
  • Preference given to individual with prior work experience in an educational setting.

Pay Range

Minimum $26.40, Midpoint $31.40, Maximum $36.40

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
