The Department of Electrical Engineering and Computer Sciences is larger than most departments on campus; it has over 100 regular Senate faculty members, dozens of visiting faculty members, postdoctoral researchers and visiting scholars, about 700 graduate students and overt 3,200 undergraduate majors in two colleges (Letters and Science and Engineering). The Cory Hall Front Desk Coordinator is the first point of contact for our students, faculty, staff and visitors. This position is responsible for providing information in response to general inquiries and for referring people to other resources. This position is important in establishing the tone of the Department, and the person holding it should be cordial, knowledgeable, responsive, and efficient.
As the face of our Department in Cory Hall, the Front Desk Coordinator fields calls and in-person questions from faculty, staff, students, and the general public, directing them to the appropriate places and resources. Mail and packages are all processed, routed, and delivered by the Front Desk Coordinator. The position plays a pivotal role in coordinating: grade input by faculty, textbook adoptions for EE courses, and orders and delivery of EE faculty's regalia. This role also includes indispensable duties in processing incoming non-senate academic appointments by charging fees when appropriate, confirming workspace is available, and obtaining Chair's approval necessary for the appointments to be completed. The role also has an important impact on meeting room allocation through application of policy and confirmation of all appropriate room reservation requests.

40% Front Desk Coordinator:
With minimal supervision, act as first point of contact for a fast-paced and busy office; answer telephones; screen requests for information; refer callers, students, and visitors to appropriate person or source of information; provide general information, make independent decisions on actions to be taken; coordinate parking requests for guests; distribute incoming mail; and report building emergencies to proper authorities. Track the deadline for submission of grades each semester and remind all EE instructors about all sections for which they are responsible. Order regalia for all EE faculty planning attending commencement.
25% Visitor Coordinator Support:
With minimal supervision, apply department policies to collect department administrative fees from RSOs and ERSO HR personnel associated with visiting scholars and postdocs. Confirm space for new appointments with the facilities group and research staff. Submit collected paperwork to the Department Chair's office for signed approval. Enter data, and audit databases to maintain accurate records of visitors.
15% Cory Hall Meeting Room Reservation Confirmation:
With minimal supervision, apply department policies to confirm or reject all Cory Hall meeting room reservation requests. Deliver confirmations within one business day of the request. Stay apprised of any policy changes, and work closely with the CS Scheduler to ensure that meeting room reservation policies are clearly stated on the Department website.
15% Instructional Administrative Support:
Respond to incoming requests for printing of instructional materials, coordinate with Course Support team, assign copying tasks to student assistants, track copy jobs through completion, and send out notices that copies have been delivered. Maintain lending library of textbooks for EE instructors and teaching assistants. Order EE textbooks according to specified book order deadlines. Contact EE faculty and follow through to ensure that texts are received in a timely manner. Obtain FERPA certification.
5% General Office and Administrative Assistance:
Provide administrative support to junior faculty including: make travel arrangements, liaise with vendors and caterers, send packages via express shipping/mailing, and direct faculty to the proper people and resources within the Department. Act as primary contact in maintenance of office equipment (e.g. copiers and Cory Hall public printers). Update mailbox assignments. Provide other administrative support duties and projects as assigned.
- Demonstrated ability to handle a fast-paced student/faculty services environment and the ability to handle a multi-line phone system. Ability to perform a variety of moderately complex tasks in an efficient manner. After initial training period, candidate must possess the ability to work independently with little need for written instructions or reminders. Computer proficiency required to use Excel, Word, Access, online databases, and other programs as needed. Demonstrated skills are required in the areas of: customer service, organization, accuracy, and attention to detail; exercising good judgment within policy parameters; working independently; adapting to a continually changing environment; and maintaining respectful relationships with diverse individuals and groups of employees, students, faculty, and others. Strong written and verbal communication skills. Demonstrated reliability, including a record of punctuality and excellent attendance, are required. Due to the nature of the work, this position has very limited flexibility for remote/hybrid work and generally requires on-site/in-person work 5 days a week (Monday to Friday) between 8 am and 5 pm.
- Experience working in a customer service or a public facing administrative position.
