Job Summary:
The Office of Development Services is an integral part of the Office of Development at the University of San Francisco. Ideal candidates will have proven proficiency in the areas of director/executive level support, research, database maintenance, budget tracking, expense processing, and customer service. Additionally, this candidate should possess initiative and independent judgment, good decision making and multi-tasking ability to efficiently plan, prioritize, and organize a diverse workload and to recommend changes in office practices and procedures.

Full Job Description:
Under the supervision of the Director of Development Services, the Program Assistant V performs the following tasks:
  • Provide general administrative support to the Senior Associate Vice President and Director of Development Services.
  • Manage key Development staff calendars and travel arrangements, both domestic and international. Schedule key meetings with University staff.
  • Independently coordinate all details of events and meetings, record and summarize meeting minutes, and record and track action steps.
  • Coordinate with key partner USF departments in support of Development operations including Accounting and Business Services, Information Technology Services, Events Scheduling, Public Safety, Facilities Management, etc.
  • Run reports out of Salesforce and Tableau.
  • Run simple SQL queries out of Oracle TOAD.
  • Manage sensitive information with the highest level of discretion and confidentiality.
  • Independently respond to inquiries for information and assistance (both internal and external).
  • Ability to independently analyze, recommend and implement new/changes to procedures.
  • Draft, proofread, type, copy, distribute, and file correspondence and communications.
  • Other duties and Development special projects as assigned.

Minimum Requirements:
  • Post high school education preferred. Training or experience equivalent to five years of increasingly responsible work experience in a senior or executive support role or related education required.
  • Previous higher education experience is a plus.
  • Demonstrated broad communication and interpersonal skills, both oral and written.
  • Ability to deal with highly confidential and sensitive material in a professional manner.
  • Ability to effectively manage multiple tasks and meet deadlines with minimal input from superiors in a fast-paced environment.
  • Independent judgment and resourcefulness to plan, prioritize and organize a diversified workload and to recommend changes in office practices and procedures.
  • Capacity and willingness to learn quickly and independently.
  • Understanding of, and commitment to, the University's Vision, Mission, and Values.
