Departmental Overview

The Office of the Associate Vice Chancellor and Dean of Students in Student Affairs is dedicated to creating an inclusive environment that helps all students reach their educational, aspirational, and personal goals.

The mission of New Student Services is to give each undergraduate student the support and resources needed for a successful transition to UC Berkeley: academically, socially, emotionally, and culturally. We do this through pre-arrival communications, streamlined academic advising efforts, mandatory trainings, and in-person orientation and welcome events. Beginning in 2017, New Student Services hosts Golden Bear Experience, a brand-new orientation process for approximately 10,000 new undergraduate students. This new program has necessitated many changes within the staffing structure and responsibilities of the staff in New Student Services.

The Office Manager maintains key responsibilities in New Student Services. This person manages our customer service efforts, including fielding inquiries from new students, parents and supporters, and campus partners. To this end, they supervise the student clerks who perform these functions on a daily basis. The Office Manager maintains confidential student employment records and abides by FERPA standards at all times. Additionally, on behalf of the Dean of Students immediate office, the Office Manager tracks and maintains records of students who complete mandatory educational trainings related to Title IX, alcohol, and mental health. The Office Manager maintains inventory of all office and programmatic supplies, and places orders as needed. The Office Manager coordinates logistical arrangements for events, and assists the staff with calendaring, work flow, and travel arrangements.

Responsibilities
  • Maintains inventory of all office supplies and necessary purchases and prepares such supplies for events.
  • Works directly with Business Operations to request all tickets and purchase orders.
  • Research and recommend vendors/prices/equipment and may identify substitutes.
  • Prepares responses to routine correspondence.
  • Supervises student office representatives.
  • Manages office phone, voicemail, and email.
  • Supports student data tracking, including exemptions, accommodations, and matching of data.
  • Develops documentation of timelines, descriptions, requirements, supplies, and processes related to various events and responsibilities.
  • Tracks student attendance at mandatory education sessions.
  • Prepares reports and statistics based on information compiled from various specified sources.
  • May change formatting on spreadsheet to better display results.
  • Codes various assessment data related to programmatic surveys and staff performance.
  • Oversees administrative and logistical arrangements for trainings, orientations, and meetings involving multiple parties, receiving limited direction.
  • Determines special room and equipment needs.
  • Manages team's work flow calendar, which may require negotiating time and place.
  • Participates in professional development opportunities through the University, Division of Student Affairs, Dean of Students portfolio, and/or off-campus events.


Required Qualifications
  • Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Requires verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Demonstrated experience supervising student staff
  • Demonstrated experience working with student-facing programs
  • Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • High school diploma or equivalent experience/training


Preferred Qualifications
  • Previous administrative and operational experience in the workplace.
  • Knowledge of UC Berkeley and Division of Student Affairs.
  • Previous experience in orientation or new student-focused department


Salary & Benefits

This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $26.82 - $27.71.

This is a full-time, career position.

This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
