Position: Payroll Specialist 1                                                                                         Department: Fiscal Affairs-Controller’s Office

Essential Duties and Responsibilities

Processes all phases of bi-weekly and monthly payroll. Compiles/balances/reviews, and audit payroll information to maintain payroll records including time and attendance records review. Check employee and work study student timesheets for accuracy. Accurate entry of data into databases and spreadsheets. Handling direct deposit requests and data. Process paper checks for distribution where needed. Assist in acquiring all necessary signatures required to distribute payroll. Process wage garnishments. Assist in making adjustments in pay for raises, promotions, etc. Acquire knowledge and understand payroll, billing and general ledger workflow processes in the department and be able to provide support and problem resolution as needed. Readies and maintains business transactions, applying accounting principles including performing analytical, evaluating, and advisory work In the department. Assist In ensuring tax preparation/payment functions and W2 forms processing are accurate and timely. Assist in reconciling payroll deposits, tax withholdings, wage garnishments, and voluntary deductions. Assist auditors and other departments In researching payroll related questions as needed. Establish and maintain  timely  communication  and relationships  with  University employees and other  internal  University customers. Efficiently utilize Ellucian Colleague ERP Software and other programs to manage payroll processing. Assist in the review and update of payroll workflow processes Make certain that all documents and reports are prepared, distributed, and filed/stored properly Maintain accurate historical records of all payroll related time and attendance,payroll reports, payroll deductions,University and employee tax wit,hholding and payments, and verbal I written communication by scanning, saving and filing documents impacting Payroll activity and customer relations properly. Support and assist in training of University admin staff. Follow all University Health and Safety programs and actively participate in training to gain knowledge and understanding Perform other related duties and special projects as assigned  to support the Controller, Fiscal Affairs, and Human Resources Departments.


Intermediate Data Entry Skills I 10 Key Touch Ability to write reports, effectively present information and respond to questions from managers, employees, or the general public. Must possess good customer service skills and oral and written  communication skills. Ability to perform  mathematical computations and calculate amount percentages quickly and accurately. Ability to solve practical problems and deal with a variety of concrete variables where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Computer literacy skills in spreadsheet (EXCEL) and word processing (WORD),OUTLOOK Demonstrated good listening skills. The ability to interact with diverse employees,faculty and staff populations,and a commitment to excellent customer service. Working knowledge of office procedures High school or equivalent and 2 Year Associates degree in accounting or business administration required, Bachelor’s degree (preferably in accounting or business administration) desired,but not required. 3-5 years payroll, accounting, accounts payable, purchasing, general accounting, or related experience Skilled in time management
