Job Summary
The position administers the day-to-day operations of the UC Berkeley Digital Health (UCBDH) program, which provides expert consultation services of retinal photographs of patients' eyes taken in remote clinic sites throughout California. Images are uploaded, with patient diagnostic information, to the EyePACS website, to enable diagnosis of potential diabetes-related blindness. Incumbent is the first line of contact with client-clinics, assisting with resolution of any problems for photographers uploading images, troubleshooting issues with camera or computer equipment/programs, maintaining and updating information about personnel contacts within the remote clinic sites, and addressing contractual or billing questions. Incumbent maintains all records, electronic and paper, to track use of the EyePACS program by clinics. Incumbent maintains mailing lists and e-mail/phone rosters to ensure communications with each clinic and user. Incumbent audits UCBDH Consultant invoices to verify billing is correct each month. Incumbent maintains records of Consultants' identification and credentials. Is responsible for issuing certificates of completion for training photographers. Incumbent coordinates contractual paperwork with the campus Office of Business Contracts and Brand Protection, tailored to each clinic site, for signature and file by both parties. Incumbent maintains a database, in Microsoft Access, to track all clinic, equipment and personnel information. Incumbent processes monthly invoicing through QuickBooks and follows up with posting of payments and collection activities through the UC accounting system. Incumbent will also facilitate the ordering of small scale supplies and eye care-related equipment. In addition to UC Berkeley Digital Health, the incumbent may have administrative responsibilities associated with UC Berkeley Optometry's Online Education program, which provides online continuing education for optometrists. This will include corresponding with potential lecturers and facilitating the coordination of recording, development, and distribution of online education content for optometrists nationwide.


Customer Services:
  • Act as main point of contact with client sites for all concerns and support.
  • Forward notices of events or other mailings through community list as appropriate.
  • Have a basic understanding of the digital retinopathy camera functions and operation, and related computer software to help troubleshoot for any problems at remote clinics.
  • Act as liaison with clinical outreach specialists in the field to maintain customer service and provide quality control.
  • Manually send feedback reports to clinics as needed if EyePACS fails.

Record Keeping and Communications:
  • Maintain database in Access for clinic sites in California to include clinic demographics, personnel contact information, inventory of diabetic retinopathy screening cameras and related equipment, tracking of screenings accomplished by clinics and photographers and tracking of clinic visits by outreach specialists.
  • Create Access reports as needed.
  • Maintain mailing lists (community communications, report mailing, and invoicing) to ensure communications with each remote clinic and EyePACS users for notice of learning community webinars, training and general information.
  • Maintain and update site statistics report mailing information in EyePACS to ensure the appropriate individuals at the remote clinic sites receive the correct monthly reports.
  • Downloaded and store pdf-copies of montly site statistic reports from EyePACS. Compares to invoicing numbers for each clinic and saves the files in Box.
  • Create reports in Excel to track monthly and comparison activity of remote clinics and disseminate to interested management individuals at UCB. .

UCB Consultant - Readers:
  • Manage contractual agreements with UCS readers and contractors screening EyePACS cases.
  • Maintain records of readers and contractors identification and credentials ensuring that any renewals are processed prior to expiration and proof is on file.
  • Assists with requests from remote clinics requiring credentialing or other required proof of qualification of readers and contractors processing screenings through EyePACS.

  • Audit readers and contractors invoices to verify billing agrees with EyePACS records of the number of screenings each month and processes payment to readers and contractors.
  • Process invoicing to remote clinics, follow up on accounts receivable questions and collections.
  • Process payments for other related expenses or purchasing of equipment.
  • Compile consult numbers from the EyePACS program for the most recent month-end.
  • Prepare consult reports for dissemination to managers.

  • Initiate and track contractual agreements with remote clinic management using EyePACS to ensure current contracts are on file, monitor expiration dates and renew as needed.

EyePACS Tasks:
  • Troubleshoot the operation of the EyePACS program in daily usage and take part in diagnosing and recording problems and communicating with programmers as requested.
  • Monitor completion of photographers training and issue certifications of completion.

Online Continuing Education:
  • Work with potential lecturers for schedule coordination and travel arrangements.
  • Coordinate with on-campus departments and off-campus entities for creation of online content.
  • Manage timelines for course development and creation ensuring adherence to deadlines.
  • Provide administrative feedback during the development and creation of content.
  • Coordinate payment to content providers.
  • Upload and manage online lectures through bCourses.
  • Provide basic end user support.

Required Qualifications

  • Strong analytical / problem-solving skills.
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
  • Strong organization and multi-tasking skills with demanding timelines.
  • Ability to quickly adapt to different forms of software and technology.
  • Ability to independently coordinate projects with minimal supervision.
  • Knowledge of HIPAA regulations governing the use and custody of patient health information.

Preferred Qualifications

  • Complete knowledge of vision care principles, terminology and procedures, and ICD-10.
  • Strong skills in analyzing detailed contractual agreements.
  • Bilingual in Spanish and English.
