Position Summary
The University at Buffalo School of Architecture and Planning seeks to hire an experienced professional to serve as a Senior Staff Assistant. This position would be responsible for facilitating procurement and reimbursements, as well as providing support to some human resource functions in the School. The successful candidate will have strong attention to detail, be highly organized, work independently with the ability to multi-task, and exercise critical thinking to provide sound analysis. This position reports to the Director of Personnel and Finance in the School of Architecture and Planning.
In this position, you can expect to provide centralized support for the entire School and will perform a variety of duties that include:
- Analyzing requests to effectively purchase requested commodities and services, ensuring compliance with purchasing thresholds and allowable use of funds policy across all funding sources
- Supporting and implementing purchasing for all aspects of school operations including School-wide, Departmental, Administrative, and Faculty Start-Up spending, and donor-funded initiatives
- Performing reconciliations in a timely manner
- Supporting all aspects of employee and non-employee travel for the School
- Assisting with faculty, staff, and students with preparation and submission of Concur Travel and Expense Reimbursement requests
- In coordination with UBO and Director of Personnel and Finance, drafting and distributing communications to faculty and staff to increase awareness of relevant university and unit financial policies
- Supporting the School’s transition to and implementation of the online Performance Program management (POP) software
- Assisting with the hiring process for faculty, staff, temp service employees, including TA/GAs, adjunct hires and student assistants, on an as-needed basis
- Other duties as assigned

Minimum Qualifications
Must meet at least one of the following degree requirements:
- Bachelor’s degree with 2 years of experience
- Master’s degree
- Professional certification with no experience
Preferred Qualifications
- Experience with UB travel, reimbursement and procurement processes and systems such as ShopBlue, Concur, and eReq
- Understanding of State, RF, and UBF and their respective purchasing policies and guidelines
