The Purchasing and Contracts Services department at the University at Buffalo is seeking a Senior Staff Assistant who would be responsible for handling the purchasing of various commodities and services for the campus community utilizing various funding sources. The selected candidate must be highly organized and detail oriented, with the ability to multi task. In this position, the candidate will perform a variety of purchasing duties to include:
Create bid specifications for multi-year, complex and larger dollar bids within the University’s ERP system.
Generate contracts and correspondence from resulting specification and bid results.
Apply applicable law in the preparation of non-template contracts.
Manage the contract life cycle process, including planning, researching, collaborating, authoring, negotiating, and executing.
Identify issues, risks, and potential liabilities and report these to supervisor and/or legal counsel.
Proactively provide specialized contract support to internal and external customers.
Interact with the Office of the State Attorney General, Office of the State Comptroller, State University of New York Counsel and The Research Foundation for the State University of New York Counsel, as needed.
Support supplier diversity.
Direct involvement in strategic sourcing initiatives that include both Campus and SUNY wide spend.
The performance of the group’s work output.
Internal and external audit results.
Application of Policy and Internal Controls.
Identify opportunities and introduce new ideas, concepts, and techniques to streamline processes, reduce total cost of goods, services, and mitigate contractual risks and liabilities.
Assist in developing and modifying procedures, policies and guidelines regarding Procurement activities and contracts.
Identify ways to support the implementation of the Procurement Services group’s goals.
Participate in further professional development.
Participate in team building within the departments, its customers and suppliers.
Support and participate in internal and external organizations, to further Procurement’s and UB’s goals.

Bachelor’s degree in Business related studies or similar body of contract and analytical type work with 2 years’ experience.
Masters level degree in Business Administration and working knowledge of Lean Six Sigma, Yellow Belt level, would be preferred.
2 or more years’ experience managing the contract life cycle process, developing basic level contracts, proposals, bids, and evaluation of awarding above is preferred for this position.
